Abstract: The system and method to generate electronic signature workflow transaction using user interface based conversational dialogue system. The user asks questions and provides inputs in the system in natural language and in free text and the system assists the user to generate the workflow transaction. Based on such inputs received from the user, the system further dialogues in natural language with the user using the user interface conversational dialogue system and also intelligently decides if any further inputs are needed or missing from the user. Once the system is ready with all the inputs that are required to be able to generate a complete electronic signature workflow transaction proposal, the system responds to the user that it is ready to propose the workflow transaction in the electronic signature workflow transaction preparation pages and asks for the user’s confirmation. The system saves time and brings improved efficiency and productivity for the users using the system.
Description:FIELD OF INVENTION
The present invention relates to electronic signature workflow transaction in electronic documents and more particularly, to system and method to generate an electronic signature workflow transaction using user interface based conversational dialogue system.
BACKGROUND
Electronic signing (E-signing) solutions are extensively used these days to sign a wide variety of documents and agreements in various different businesses. The areas where electronic signing is being used are endless, as it provides a convenient and time-efficient alternative to physically signing a document. The electronic signing systems currently in use require the user to manually create the signing workflow and authentication steps for the document via time consuming and tedious processes.
US10628596B2 describes a system where an e-document is received from a document sender and defines a contractual agreement between the document sender and at least one document signer. The e-document is processed to identify the document signer and qualifying criteria specified by the document sender. The qualifying criteria pertains to criteria that is required before the document signer can sign the e-document. The e-signing workflow is paused to transmit a request to a third party for the criteria that is required before the document signer can sign the E-document. The required criteria is received and, responsive to an evaluation of the criteria, the e-signing workflow is unpaused to invite the document signer to e-sign the e-document. It emphasizes on external checks which are required to verify the signer qualifying criteria for example guarantor’s credit rating score needs to be fetched from a third party vendor, the sender sets such rules for signed qualifying criteria check and then the system is paused by sender to get those additional certificates and then once the checks are done , the workflow is unpaused.
Conventionally, the sender or preparator of an electronic signature workflow transaction has to manually prepare it by uploading the document or documents to be signed, adding signer, approver, form filler recipients along with their authentication method, language preference and signature method to the workflow transaction, adding CC users optionally, adding the message for recipients which will go out to them in email notification, input any customer specific fields to the transaction for identifying the transaction for reporting purpose, adding expiry and reminder for the transaction, assigning the fields/tags for workflow sender and recipients. All these inputs are added manually before the electronic signature workflow transaction is ready for the sender to send it out for electronic signatures or approval or form filling from workflow recipients. In certain industries like hospital and clinical research centres where many forms are required to be signed, this manual process becomes very tedious, error prone and time consuming. Therefore, there is felt a need to provide a new system and method to generate an electronic signature workflow transaction that is easy, convenient and time saving for the users.
DEFINITIONS:
The expression “document” used hereinafter in this specification refers to, but is not limited to an electronic document including e- contracts, commercial contracts, customer contracts, vendor contracts, Non-disclosure agreements, etc in a computer readable format.
The expression “user” used hereinafter in this specification refers to, but is not limited to the individual/ natural entity that may be the creator of the document, sender of the document, any recipient of the document or any signer of the document.
The expression “electronic signature or e-signature” used hereinafter in this specification refers to, but is not limited to the data that is logically associated with other data and which is used by the signatory to sign the associated data.
OBJECTS OF THE INVENTION:
The primary object of the present invention is to provide a system and method to generate an electronic signature workflow transaction.
Yet another object of the present invention is to provide a system and method to generate an electronic signature workflow transaction using user interface based conversational dialogue system.
Yet another object of the present invention is to provide a system and method that provides a free text interaction to the user with the natural language based conversational dialog system.
Yet another object of the present invention is to provide a system and method for assisting the user to generate the electronic signature workflow transaction.

Before the present invention is described, it is to be understood that present invention is not limited to particular methodologies and materials described, as these may vary as per the person skilled in the art. It is also to be understood that the terminology used in the description is for the purpose of describing the particular embodiments only, and is not intended to limit the scope of the present invention.
The embodiment of the present invention describes the system and method for generate an electronic signature workflow transaction using user interface based conversational dialogue system. Embodiments of the invention may be used with any type of document where one or more signatures is needed.
According to an aspect of the present invention, the generative AI based system and method provides the user with a user interface based conversational dialogue system. The user asks questions and provides inputs in the system in natural language and in free text and the system assists the user to generate the electronic signature workflow transaction. The inputs provided by the user in free text are minimal and include documents to be uploaded in sequence, signer, approver or form filler recipients details and any additional users that need to be added to the electronic signature workflow transaction. Based on such inputs received from the user, the system further dialogues in natural language with the user using the user interface conversational dialogue system and also intelligently decides if any further inputs are needed or missing from the user. Once the system is ready with all the inputs that are required to be able to generate a complete electronic signature workflow transaction proposal, the system responds to the user that it is ready to propose the workflow transaction in the electronic signature workflow transaction preparation pages and asks for the user’s confirmation. Upon confirming, the system auto-proposes the electronic signature workflow transaction which is ready for the user’s review. The system and method of the present invention saves time and brings improved efficiency and productivity for the users using the system. The system is an intelligent assisted AI engine that assists the user of the system to generate the signing workflow transaction in an efficient and time saving manner.

According to the embodiment of the present invention, the system comprises of a user communication device, user interface, a set of computer readable instructions which can be provided by the user by means of the said communication interface, a processing unit operably associated with the each of the said communication devices and adapted to execute the said instructions provided by the user and a computer readable memory storage medium capable of storing the said instructions provided by the user. The user of the system can browse and upload the electronic document/s that has to be signed from the user’s communication device such as personal computers, desktops, laptops, hand held devices. The electronic documents may be PDF (portable document format) documents or WORD documents.
According to the embodiment of the present invention, the system and method for generating an electronic signature workflow transaction comprises the steps as follows:
• The user of the system who is the sender or preparator of the electronic signature workflow transaction clicks on the option to create an e-signature workflow transaction by visiting the e-Signature workflow transaction send page.
• The user clicks on the user interface (UI) based conversational dialogue system button option to open the UI dialogue system to be able to interact in natural language to provide the user’s inputs.
• The user asks the system to prepare the e-signature workflow transaction for the documents and uploads the documents in sequence. After this, the user provides inputs to the UI dialog system regarding the details of the signers such as names, email addresses and sequence of the signers.
• Once the system receives all the required inputs, the system intelligently decides if any information is still required from the user in order to propose the workflow transaction. If that is the case, the UI dialog system asks the user for the missing information.
• With all the necessary inputs from the user, the system proposes the eSignature workflow transaction preparation UI pages to the user for review and approval.
• The user reviews the eSignature workflow transaction preparation UI pages which the system had generated and provides inputs if there are any modifications to any of the proposed values.
• Once the user has reviewed the eSignature workflow transaction preparation UI pages, the user sends out the eSignature workflow transaction to recipients of the workflow for signatures, approval, or form filling.
According to the embodiment of the present invention, the following aspects are generated and proposed in the eSignature workflow transaction preparation pages UI.
• Generation and auto-proposal of single or multiple documents been uploaded in sequence.
• Generation and auto-proposal of signers, approval or form fillers along with workflow type (Sequential, Parallel or Hybrid Workflow type), authentication (Email, SMS, Phone SMS OTP-2Factor Authentication, Signing Password-2Factor Authentication), default language of each signer from user profile language preference or from tenant language preference, default signature method, CC users added if any provided based on inputs received from sender.
• Generation and auto-proposal of any customer specific fields added to the transaction for identifying the transaction for reporting purpose and auto-selecting any value based on inputs received from sender.
• Generation and auto-proposal of subject of the email notification which will go out to recipients based on the added document file name.
• Generation and auto-proposal of messages for recipients in the email notification based on default message templates for recipients.
• Generation and auto-proposal of default expiry and reminder for the transaction from the tenant’s settings.
• Generation, auto-resize and auto-proposal of signer fields, approval fields or form filler fields, or sender’s pre-filling fields onto the documents’ pages at the fields’ assignment places for the eSignature workflow transaction.

the method comprises the steps as follows :
• the user of the system who is the sender or preparator of the electronic signature workflow transaction clicks on the option to create an e-signature workflow transaction by visiting the e-Signature workflow transaction send page;
• the user clicks on the user interface (UI) based conversational dialogue system button option to open the UI dialogue system to be able to interact in natural language to provide the user’s inputs;
• the user asks the system to prepare the e-signature workflow transaction for the documents and uploads the documents in sequence and the user then provides inputs to the UI dialog system regarding the details of the signers such as names, email addresses and sequence of the signers;
• and once the system receives all the required inputs, the system intelligently decides if any information is still required from the user in order to propose the workflow transaction and in that case the UI dialog system asks the user for the missing information;
• and with all the necessary inputs from the user, the system proposes the eSignature workflow transaction preparation UI pages to the user for review and approval and assists in generating the electronic signature workflow transaction.

The system and method as claimed in claim 1, wherein the electronic signature workflow transaction consists of uploading the document/s to be signed; adding signer, approver, form filler recipients along with their authentication method, language preference and signature method to the workflow transaction; adding other users optionally; adding the message for recipients which will go out to them in email notification; input any customer specific fields to the transaction for identifying the transaction for reporting purpose; adding expiry and reminder for the transaction; assigning the fields/tags for workflow sender and recipients, etc.

The system and method as claimed in claim 1, wherein the inputs provided by the user are in free text and natural language, are minimal and include documents to be uploaded in sequence, signer, approver or form filler recipients details and any additional users that need to be added to the electronic signature workflow transaction.
4. The system and method as claimed in claim 1, wherein the system generates and proposes the following aspects:
• generation and auto-proposal of single or multiple documents been uploaded in sequence;
