Abstract: ABSTRACT Title: A SYSTEM AND METHOD TO RESIZE ELECTRONIC SIGNATURE TAGS AND AFFIX ELECTRONIC SIGNATURES A system (1) and method to resize electronic signature tags and affix electronic signatures using user interface (UI) based conversational dialogue system, where the system (1) comprises of a user (2) that provides a set of computer readable instructions using an input device (3); where the instructions are provided through a user interface (5) based conversational dialogue system (6) and a method is employed for initiating signature workflow, uploading documents, accessing, resizing, affixing multiple signatures within signature tags thereby signing documents sent by a user or signer; such that the system (1) enables to access signature tags (8) and signatures (9) from the drawing panel (7), resize and affix the said signature tags (8) and signatures (9) at desirable places; and finally provide a signed document (4) to the user (2) through the conversational dialogue system (6)using at least one output device (3).
Description:FIELD OF INVENTION
The present invention relates to electronic signature transaction in electronic documents and more particularly, to system and method to resize electronic signature tags and affix electronic signatures using user interface based conversational dialogue system.
BACKGROUND:
In the era of digital transformation, the ubiquity of electronic signatures also termed as e-signatures have revolutionized the way we authenticate and validate documents. However, the seamless integration of e-signatures is not without its challenges, particularly when dealing with documents that demand multiple signatures within limited spaces. One significant hurdle is the manual resizing and insertion of e-signature tags, a task that can be arduous, time-consuming, and prone to errors.
Resizing e-signatures manually presents several challenges, affecting efficiency, accuracy, and user experience in managing electronic documents. The process is time-consuming, especially for documents requiring multiple signatures, leading to inefficiencies in critical scenarios like time-sensitive contracts. Manual resizing often results in inconsistencies in signature sizes, potentially impacting the document's professional appearance and raising concerns about authenticity. The inherent risk of human errors, such as inaccuracies and misplacements during resizing, poses a threat to the document's integrity and compliance. Handling multiple signatures exacerbates complexities and increases the likelihood of oversights. User fatigue and frustration arise from the repetitive nature of resizing tasks, particularly when dealing with high volumes of documents or tight deadlines. Limited space challenges, inefficiencies in workflows, and difficulties in training users for accurate manual resizing add further complications. Integration issues with various document management systems may disrupt workflows, leading to inconsistencies and potential security concerns, as manual resizing involves manipulating the digital signature area.
Manually resizing and inserting e-signature tags pose significant challenges across industries. In the legal sector, law firms grapple with time-consuming adjustments in contracts and court documents. Financial institutions face regulatory compliance issues, risking inefficiencies and errors in documents like loan approvals. Healthcare encounters complexities in patient consent forms, while HR departments find tasks like employee onboarding and policy acknowledgments labour-intensive. Real estate transactions, government documentation, education, and corporate governance all confront difficulties in managing multiple signatures manually, leading to delays and inaccuracies.
PRIOR ARTS:
US11477334B2 discloses techniques for signer-initiated electronic document signing via an electronic signature service using a mobile or other client device. Electronic signature service (“ESS”) is configured to facilitate the creation, storage, and management of documents and corresponding electronic signatures. Signer can import the captured image into the ESS for signature, storage, and/or transmission to other parties.
US20230359811A1 discloses Techniques for obtaining electronic signatures via word processing applications. One approach utilizes a code module, also referred to as a “markup module,” that executes within a word processing application and that facilitates the preparation of a document for electronic signature. A user can operate the word processing application together with the markup module in order to add signature tag markers to the document and to provide recipient information about intended signers, such as names and email addresses.
Though the prior arts talk about providing user details like name, email ids, etc. of the signers through a word processing application; none of the available prior arts disclose anything about a system that takes instructions using the conversational dialogue system; for auto resizing and auto affixing the signature tags as well as the signature image in the documents.
Therefore, there is, a need for innovative solutions and concepts, such as the automated resizing of e-signatures. This innovative approach utilises advanced automation and an intuitive dialogue system to predict and suggest optimal resizing, customised to the available space within a document. This advancement not only simplifies the intricacies linked to manual adjustments but also markedly improves efficiency and accuracy when managing a variety of documents across different industries.
DEFINITIONS
The expression “system” used hereinafter in this specification refers to a “signing system” comprising of user interface including, but not limited to laptops, screens, desktops, computer, communication interface, mobile devices or iPads.
The expression “user” used hereinafter in this specification refers to, but is not limited to the individual/ natural entity that may be the ‘creator’ of the document, ‘sender’ of the document, any ‘recipient’ of the document or any ‘signer’ of the document.
The expressions “input devices” or “output devices” used hereinafter in this specification refers to, but is not limited to a computer, mobile device, iPad, screen, keyboards or mouse; that allows the user either to provide or receive instructions into a computer readable format.
The expression “document” used hereinafter in this specification refers to, but is not limited to an electronic document including e- contracts, commercial contracts, customer contracts, vendor contracts, non-disclosure agreements, pharmaceutical worksheets, medical reports, etc in a computer readable format including, but not limited to excel (.xml), PDF (.pdf) or word (.docx).
The expression “electronic signature or e-signature” used hereinafter in this specification refers to, but is not limited to the data that is logically associated with other data and which is used by the signatory to sign the associated data.
The expression “tags”, “signature tags”, or e-signature tags” used hereinafter in this specification refers to, but is not limited to the blank placeholders that allow signers, users or recipients to add their signature into those placeholders to a document.
The expression “re-size” or any of its variations such as “re-sizing” or “re-sized” used hereinafter in this specification refers to, but is not limited to changing or adjusting the specifications of an image with respect to dimensions (cm, mm, inches), size (kb, mb), pixels, resolutions or ratios of an image.
OBJECTS OF THE INVENTION
The primary object of the present invention to provide a system and method to resize electronic signature tags and affix electronic signatures.
Another object of the present invention is to provide a system and method to resize the signature tags and affix and signatures using user interface based conversational dialogue system.
Yet another object of the present invention is to provide a system and method that provides a free text interaction to the user with the natural language based conversational dialog system.
Yet another object of the present invention is to provide a system and method that enables the user to access signature from a drawing panel.
Yet another object of the present invention is to provide a system and method that allows the user to review the signature tags before signing.
Yet another object of the present invention is to provide a system and method that allows the user to affix a resized signature on the desired document.
SUMMARY
Before the present invention is described, it is to be understood that present invention is not limited to particular methodologies and materials described, as these may vary as per the person skilled in the art. It is also to be understood that the terminology used in the description is for the purpose of describing the particular embodiments only, and is not intended to limit the scope of the present invention.
The present invention relates to electronic signature transaction in electronic documents and provides a generative AI based system and method to resize the signature tags and affix signatures through a user interface based conversational dialogue system; where the system performs initiating, accessing, resizing, affixing multiple signatures thereby signing multiple documents sent by a user or signer.
In one aspect, the system comprises of a user that provides a set of computer readable instructions using an input device; where the instructions are provided through a user interface based conversational dialogue system and a method is employed for initiating signature workflow, uploading documents, accessing, resizing, affixing multiple signatures within signature tags thereby signing documents sent by a user or signer; such that the system enables to access signature tags and signatures from the drawing panel, resize and affix the said signature tags and signatures at desirable places; and finally provide a signed document to the user through the conversational dialogue system using at least one output device.
In another aspect, the method employs the steps of uploading the documents in the signing system using an input device by the user, providing instructions through a user interface based conversational dialogue system, recognizing the signature places in the document, calculating intelligently the space available to affix the signature tag within the document, resizing the signature tag, inserting the signature tags at specified places in the document, sending a message to the user for correction or confirmation, inserting the signature tag on the document, accessing the document for signing, accessing the signature from the drawing panel, automatically resizing and affixing the signature in the available space within the signature tag, and finally sending the signed documents to the user using an output device.
In another aspect, the system and method of the present invention is user-friendly and enables the user to sign large number of documents requiring multiple signatures within a short time-span, by automatically recognizing available space, resizing the signature tags and signatures and affixing signatures within the signature tags.

DETAILED DESCRIPTION OF THE INVENTION:
Before the present invention is described, it is to be understood that this invention is not limited to particular methodologies described, as these may vary as per the person skilled in the art. It is also to be understood that the terminology used in the description is for the purpose of describing the particular embodiments only, and is not intended to limit the scope of the present invention. Throughout this specification, the word “comprise”, or variations such as “comprises” or “comprising”, will be understood to imply the inclusion of a stated element, integer or step, or group of elements, integers or steps, but not the exclusion of any other element, integer or step, or group of elements, integers or steps. The use of the expression “at least” or “at least one” suggests the use of one or more elements or ingredients or quantities, as the use may be in the embodiment of the invention to achieve one or more of the desired objects or results. Various embodiments of the present invention are described below. It is, however noted that the present invention is not limited to these embodiments, but rather the intention is that modifications those are apparent are also included.
The present invention describes a system (1) and method to resize the signature tags and affix signatures through a user interface based conversational dialogue system (6) using an artificial intelligence (AI) generative concept; where the system (1) performs initiating, accessing, resizing, affixing multiple signatures thereby signing multiple documents sent by a user or signer. According to an embodiment, the system (1) comprises of a user, an input/output device, a user interface (UI) (5) based conversational dialogue system (6) and a drawing panel (7); where the UI (5) conversational dialogue system (6) is associated with the input/output devices/interfaces (3) allowing the user (2) to access and communicate the computer readable instructions while signing various documents (4) at specific places in the document (4); and wherein the system (1) employs a specific method of signing including the steps of uploading documents, entering signature tag instructions, recognizing the signature places and space, resizing signature tags, sending message for correction or confirmation, inserting signature tag/s, accessing documents, accessing signature, resizing and affixing signatures, sending signed documents to the user.
Referring to Fig. 1, a preferred embodiment of the invention discloses a signing system (1) to resize the signature tags (8) and affix signatures (9) at the desirable places in a document (4) using a user interface (5) based conversational dialogue system (6) where a user (2) provides a set of computer readable instructions using an input device (3) including, but not limited to a communication device/ interface like computer, laptop, mobile device, user interface, keyboards; where the instructions are provided through the conversational dialogue system (6) and a method is applied to access from the drawing panel (7), resize and affix the said signature tags (8) and signatures (9) at desirable places; and finally provide a signed document (4) to the user (2) through the conversational dialogue system (6) using an output device (3).
In another embodiment of the invention is disclosed an AI based method integrated in the signing system (1) that employs the conversational dialogue system (6) to take instructions from the user (2) to access the documents (4) from the system (1), access signature tags (8) and signatures (9) from the drawing panel (7), automatically recognize and calculate the available space for the signature tags (8) to be affixed at the specified desirable place in a document (4), automatically resize the signature tags (8) to fit in the available space, affix the tags (8) on the document (4), resize the signatures (9) to affix in a space within the signature tags (8).
According to another embodiment, the documents to be signed may include, but not limited to e- contracts, commercial contracts, customer contracts, vendor contracts, non-disclosure agreements, pharmaceutical worksheets, medical reports, etc in computer readable formats not limited to, excel (.xml), PDF (.pdf) or word (.docx); and the signature tags (8) or signatures (9) to be affixed on atleast one such document (4) are resized by recognizing the space where the signature tags (8) are to be inserted; the system (1) then automatically resizes the signature tags (8) and signatures (9) by changing or adjusting the necessary specifications of an tags (8) or signature (9) image accessed from the drawing panel (7); with respect to dimensions (cm, mm, inches), size (kb, mb), pixels, resolutions or ratios of an image; enabling the tags (8) or signatures (9) to fit in the required space within the document (4).
According to the embodiment of the present invention, referring to Fig. 2, the system (1) and method to resize signature tags and affix signatures comprises the steps as follows:
- The user (2) uploads the documents (4) in the signing system (1) using an input device (3).
- The user (2) clicks on the user interface (5) based conversational dialogue system (6) and provides instructions such as “Insert signature tag at “X” column” in the form of a free text.
- The system (1) automatically recognizes, the signature places in the document (4) as per user’s instructions, and calculates the space available to affix the signature tag (8) within the document (4).
- The system (1) then intelligently resizes the signature tag (8) according to the calculated space, inserts the signature tags (8) and sends a message to the user (2) for correction.
- If user (2) selects option that correction is required, the system (1) resends the document (4) to auto-resize step; whereas if user (2) confirms that no correction is required, the signature tag (8) insertion on the document (4) is completed.
- The system (1) then accesses the document (4) with signature tag (8) for signing.
- The system (1) accesses the signature (9) from the drawing panel (7) and automatically resizes it according to the space withing signature tag (8).
- The user (2) then provides instructions to place the sample signature (9) within all signature tags (8); through the user interface (5) based conversational dialogue system (6).
- The system (1) then intelligently affixes the resized signatures (9) within the signature tags (8) and the signed documents (9) are sent to the user (2) using an output device (3).
Working Example:
“Resizing signature tags and affixing physician’s signatures to an excel document for pharma companies”
It is convenient to understand the specific features of the invention through a working example described herewith in a stepwise manner, as referred in Fig. 3. An example disclosing the working and functioning of the system of the present invention for automatically resizing signature tags and affixing physician’s signatures at 25 places within an excel document for pharma companies is provided herein. In the present system, the conversational dialogue system is associated with a user interface, an input/output device allowing the user to access and communicate the computer readable instructions while performing any signing workflow.
The steps of the said exemplified transactions are as follows:
- The user uploads the excel document to be signed by the physician, using at least one input device.
- The user clicks on the user interface based conversational dialogue system window to add instructions for signing the excel document.
- The user provides instructions as free text – “Insert signature tags to 25 items of Column “H” in the uploaded excel document”.
- The system recognizes the space within the cells of the Column “H” of the excel document and automatically resizes the signature tags by making necessary adjustments to fit into the required space.
- The system inserts the signature tags at all 25 items of Column “H” and then sends a message to the user through a conversational dialogue system to Check for Correction.
- If the user thinks that a correction is required- User provides the instructions for the correction say “Correct Column no.- “H to I” in form of free text through the conversational dialogue system; and the document is sent back for re-insertion of signature tags to Column “I”.
- If a correction not required; the user confirms to insert the signature tags in and the Signature tags are inserted to 25 items of Column “H”.
- The system accesses the excel document with signature tags to be signed, followed by accessing the signature of the physician from the drawing panel.
- The user provides instructions to place the physician’s signature within all signature tags of Column “H”.
- The system automatically resizes physician’s signature and affixes it within signature tags.
- Finally, the signed excel document is sent to the user through the conversational dialogue system using an output device.
It is to be noted that the column names, numbers, document types and signer specifications used in the example are hypothetical and only specified for exemplification of the working of the present invention and ease of understanding of the steps. However, there is no limitation to number of signers/users, number of columns, number of documents, type of document etc. where the signature tags or signatures have to be affixed.
Advantages:
The significance of the present system (1) is that it enables the user (2) to provide instructions for signing the documents (4) as free text through the user interface (5) based conversational dialogue system (6) and the system (1) accesses the signature tags (8) and signatures (9) from the drawing panel (7), intelligently recognizes the place to affix signatures (9) within the document (4) as defined by the user (2), calculates the space available for placing the signature tag (8), automatically resizes the signature tags (8) to fit at the specified place and automatically affixes the desired number of signatures (9) within the signature tags (8). The system (1) of the present invention is user-friendly as it allows the user (2) to review and confirm the workflow at every step by sending messages through the user interface (5) based conversation dialogue system (6) in case of corrections; and enables the user (2) to sign large number of documents (4) requiring multiple signatures (9) within a short time-span.
While considerable emphasis has been placed herein on the specific elements of the preferred embodiment, it will be appreciated that many alterations can be made and that many modifications can be made in preferred embodiment without departing from the principles of the invention. These and other changes in the preferred embodiments of the invention will be apparent to those skilled in the art from the disclosure herein, whereby it is to be distinctly understood that the foregoing descriptive matter is to be interpreted merely as illustrative of the invention and not as a limitation. , Claims:CLAIMS
We claim,
1. A system (1) and method to resize electronic signature tags and affix electronic signatures using user interface (UI) based conversational dialogue system, where the system (1) performs initiating, accessing, resizing, affixing multiple signatures thereby signing documents sent by a user or signer;
where the system (1) comprises of a user (2) that provides a set of computer readable instructions using an input device (3); where the instructions are provided through a user interface (5) based conversational dialogue system (6) and a method is applied to access signature tags (8) and signatures (9) from the drawing panel (7), resize and affix the said signature tags (8) and signatures (9) at desirable places; and finally provide a signed document (4) to the user (2) through the conversational dialogue system (6)using at least one output device (3);
characterized in that:
the method comprises the steps as follows:
- uploading the documents (4) in the signing system (1) using an input device (3) by the user;
- clicking on the user interface (5) based conversational dialogue system (6);
- providing instructions such as “Insert signature tag at “X” column” in the form of a free text;
- recognizing the signature places in the document (4) automatically as per user’s (2) instructions;
- calculating intelligently, the space available to affix the signature tag (8) within the document (4) by the system (1);
- resizing the signature tag (8) intelligently, according to the calculated space,
- inserting the signature tags (8) at specified places in the document;
- sending a message to the user (2) for correction or confirmation, through the user interface (5) based conversational dialogue system;
- confirmation by the user that no correction is required and inserting the signature tag (8) on the document (4);
- accessing the document (4) with signature tag (8) for signing by the system (1);
- accessing the signature (9) from the drawing panel (7) and automatically resizing it according to the space within the signature tag (8);
- providing instructions by the user (2), to place the sample signature (9) within all signature tags (8); through the user interface (5) based conversational dialogue system (6);
- affixing the resized signatures (9) intelligently by the system (1), within the signature tags (8);
- sending the signed documents (4) finally to the user (2) using an output device (3).
2. The system (1) and method as claimed in claim 1; where in case of requirement of correction, the user (2) selects an option that correction is required through the conversational dialogue system (6) and the system (1) resends the document (4) to auto-resizing step within the signing workflow.
3. The system (1) and method as claimed in claim 1, wherein the instructions provided by the users (2) through the user interface (5) based conversational dialogue system (6) are in form of free text.
4. The system (1) and method as claimed in claim 1, wherein the documents uploaded for signing are in computer readable formats not limited to, excel (.xml), PDF (.pdf) or word (.docx).
5. The system (1) and method as claimed in claim1, wherein the system (1) is user-friendly and enables the user (2) to do the following:
- to provide instructions for signing the documents as free text through the user interface based conversational dialogue system,
- to access the signature tags and signatures from the drawing panel,
- to intelligently recognize the place to affix signatures within the document as defined by the user,
- to calculate the space available for placing the signature tag,
- to automatically resize the signature tags to fit at the specified place,
- to automatically affixes the desired number of signatures within the signature tags,
- to review and confirm the workflow at every step,
- to allow the user to make corrections,
- to enable the user to sign large number of documents requiring multiple signatures within a short time-span.
