Description:Field of Invention
The present invention relates to a system and method for managing task, and more particularly to a close-looped task management system with a verification and validation phase and a platform for productivity enhancement through organized working enabled by means of humanlike cognitive intelligence.
Background
Generally, all management workspace operate with the need to perform many logistical tasks necessary to achieve short term and long-term goals. Projects and group activities often involve tasks whose sequence must be planned and monitored in light of the resources required and available. The project plan and schedule are converted into specific interrelated tasks, and then appropriate resources are assigned to complete those tasks. Efficient use and management of resources, and engagements, especially in large organizations is a critical function to the effective and efficient delivery of product and/or services. Thus, a project can be thought of as a collection of activities and tasks designed to achieve a specific goal of an enterprise, with specific performance or quality requirements while meeting time and cost constraints. Project management refers to managing of activities that lead to successful completion of project, and an effective project management is a vital tool to the success of projects.
It may be desirable not only to view a project in terms of tasks, but also in terms of personnel assigned to complete each task. The typical approach to project management involves breaking down the overall project into a series of tasks and subtasks. These tasks are assigned to employees either directly along management lines or assigned by different groups, some of which are performed in sequence and some concurrent. In some cases, the available resources are underutilized, resulting in project inefficiencies. In other cases, the resources are over-committed, resulting in delayed schedules. In several other cases updation, verification and validation of tasks are not performed both by the employees and managers. Therefore, the managers in charge of employee performance appraisals cannot do an effective job. Such managers are often unaware of all the tasks accomplished by the employees. In particular, communication failure between various team members often present barriers to effective project management. Large businesses expend numerous resources and time organizing and tracking various projects or tasks. Therefore, adequate tracking of task completion, updating, performance, expertise, credential, experience, qualification, task familiarity, verification, validation and other related information is a longstanding need.
The current operating system provides task management system for the user to manage daily tasks or occasional tasks. However, the task management system currently on the market can only provide simple rigid task management functions, that does not allow users to intuitively operate or be set flexibly. Likewise, plenty of products for tracking task performance, employee and engagement information, such as time scheduling and management systems are well known in the art but provide limited functionality.
US Patent 5111391 discloses a system and method for making staff schedules as a function of available resources as well as employee skill level, availability and priority. This system and method includes a database for storing and retrieving information characterizing: central office policy of applicable labor requirements; tasks that need to be performed; and skill levels required to perform tasks. Upon request to create a schedule for a given day for a remote location, the system selects all the tasks to be performed on that day, for that location, analyzes the tasks, the skill required, the available resources, and creates an optimized display of the required schedules. It merely calculates what is a possible day-to-day schedule based on resources available and tasks assigned, and assigns tasks with no cooperation or participation by employees.
US Patent 9779386 relates to software and a method of use for implementing workflows and managing engagements and staff. More particularly, the present invention relates to a software module tracking data of staff, engagements and workflows and a method of using such data in the management of staff and assignment of tasks. Information concerning employees is input into a database by the manager and the employees, and is tracked therein. The information concerning an employee includes an employee's availability, ability and experience. Workflow/Task information is input into the database when either a client makes a request for service of the business, or a workflow/task internal to the business is needed to be performed. Task information includes the nature of the work and deadlines. Task information is compared to the employee information. A list is automatically generated naming the employees best suited to the mandate of the task. The manager then chooses a name from the top of the list and assigns the task to that employee.
US patent 8306841 discloses a project management system uses a work breakdown structure to define the project tasks. The work breakdown structure is organized as set of hierarchical related project tasks. The work breakdown structure can be loaded in part from a template. A calendar breakdown structure defines events associated with project resources. The calendar breakdown structure is defined on departmental basis. A resource breakdown structure defines available resources. The resource breakdown structure includes personnel and tools. The allocation of available resources to the project tasks is optimized within the constraints of the work breakdown structure and calendar breakdown structure. A histogram of project demand versus available resources is generated. The histogram of project demand versus available resources is used to optimize resource allocation.
US patent application 20100257015A1 relates to a computer implemented system and method that ties in complex calendar event relationships, which provides the user with a context as to how the task needs to be completed and how it relates to larger initiatives. The system and method supports next to real time notification methods using a peer-to-peer (p2p) messaging architecture. As Calendar Events or Tasks are manipulated in the Work Management System, all scheduling clients can automatically adjust their events to reflect the changes.
The cited prior-art documents disclose task management system for scheduling tasks. However, none of the cited prior-art documents discloses cognitive humanlike functions for task management. The available systems adopt a top down approach to task delegation with the focus only for the deskbound employees. The task assignment is unilateral and completion is not close-looped with verification and validation process for the tasks assigned to the employees. Verification and validation of assigned tasks is a critical process for project management which includes the process of ensuring project requirements traceability. It can range from strategic planning and implementation to manage the workflow across the life cycle of a project. Successful management of a large project must perform the verification and validation process which is labor intensive that can incur great cost. The traditional verification and validation methods are largely manual procedures and include activities like physically chasing the required documents for tracing the projects status.
For few projects, tasks are usually wide spread in geographical locations. Frequent traveling to resolve the issues are often required. All these factors can incur huge cost and can impact or delay project milestones. The prior-arts do not feature a location-based alerts for tasks integrated with the calendar. Therefore, there is a need for a system and method to collaborate the tasks in an orderly manner to obtain the precisely needed information quickly.
Accordingly, there exists a need in the art to provide a system and method for managing tasks to solve and overcome the deficiencies and limitations described herein above.
The present invention provides a close-looped task management system involving a collaborative productivity platform with intuitive humanlike cognitive ability to create, assign, manage and monitor the tasks, events and projects. The close-looped workflow task management system according to the present invention provides a coordination, verification and validation phase for every task to seamlessly maintain the status report of the project for needful intervention. EXAMPLE
A user initiates a new scheduling item request to the task management system (100) via request module (102) by means of user interface device (101). The new scheduling item request may be a reminders or task or event or project. The new scheduled item is provided with the calendar-based scheduling by means of time module (201). The calendar-based scheduling is unique or recurring. The new scheduled item is provided with the location-based scheduling by means of location module (203). The location-based scheduling is either dynamic geofencing based alerts provided in accordance with the arrival or departure from a defined location or static location based alerts merged with scheduled items in pre-defined locations to be scheduled in sequence. The scheduled item is provided with the appropriate conditions including “After”, “before”, “when”, “weather” “not”, “and”, “or” defining the sequence of execution of the scheduled item. Then the scheduled item is assigned to appropriate executor for execution by means of action logic module (204) of the task management system. The scheduled item is further fragmented into subtasks and delegated to competent personnel based on the stored performance data in the cognitive intelligence module (299). The performer then updates and provides alerts on the execution status of the scheduled item by means of closed loop feedback (300) of the task management system. He also request to initiate intelligent meeting scheduling by means of the request module (102). Verification phase is enabled by an intelligent meeting scheduling, wherein review of the executed scheduled item is done by the appropriate person such as manager in-charge. Coordination and communication with different personnel involved in the execution of the scheduled item is enabled during the reviewing and verification phase. Intelligent meeting is scheduled and initiated in the form of telecon or wireless calling. The intelligent meeting phase is provided with a termination item in the form of call ending and a reporting item in the form of minutes of the meeting. The performance and the competency of the performer is evaluated in the validation phase in the form of performance and skill rating. The performance rating is stored in the cognitive intelligence module (299) to be used in future for assigning scheduled items based on skill and competency. Finally, the scheduled item is terminated which mandates the user to submit the verification and validation records and it is endorsed by the appropriate personnel such as manager in-charge. The stored information in the cognitive intelligence module is used for building the future logic with machine learning and artificial intelligence to augment cognitive intelligence feature by means of the additional logic module (205) of the task management system (100). The information including the competency and performance rating of the personnel from verification and validation phase is stored in information repository in the knowledge engine module (206) where the information is classified and assimilated and further the required training is determined based on the performance evaluation of the personnel. The knowledge engine module (206) defines rules that facilitates building of future logic for machine learning and artificial intelligence. It will be apparent to a person skilled in the art that the above description is for illustrative purposes only and should not be considered as limiting.
