Abstract: A method for efficient document e-filing by creating a paper profile A method for efficient document e-filing by creating a paper profile relates to a centralized system and method for efficient e-filing by creating a paper profile, which allows the users to file the documents as soon as they are received by digitization of various physical documents. The system generates paper profile of a document by enabling users to define document characteristics using an electronic form with multiple fields, generating a unique identification code for the paper profile and later associating it with digitized document image obtained after scanning. The system also has a built-in tracking mechanism to account for missing or damaged documents, which results in a highly efficient enterprise by eliminating wait time for further processing. The system also displays status of availability of document in the database
I/We claim: -
1. A method for efficient document e-filing by creating paper profile, said method comprising
the steps of: -
a) creating a paper profile of a document;
b) generating a unique identification code for the document;
c) assigning the unique identification code to the corresponding paper profile;
d) assigning the document with the unique identification code;
e) scanning and storing the document with unique identification code;
f) associating the scanned image of the document with the corresponding unique identification code paper profile;
g) using a back-up approach;
h) tracking of documents wherein the tracking of documents is effected by monitoring and
comparing number of documents for which paper profiles have been created with respect to total number of documents scanned.; and
i) displaying status of availability of documents.
2. A method as claimed in claim 1 wherein the step of creating of a paper profile comprises identifying pre defined attributes for each document.
3. A method as claimed in claim 1 wherein the pre-defined attributes include information such as the document name, document type, customer name, number of pages.
4. A method as claimed in claim 1 wherein the step of creating of a paper profile comprises the presentation of the selected attributes in an input form.
5. A method as claimed in claim 1, comprising the assignment of the unique identification code to the document wherein the code is alpha numeric, alphabets, numerals or combination of unique number and number of pages and is specified in a pre-defined area of the document.
6. A method as claimed in claim 1, which comprises the step of scanning the document and storing the scanned image of the document with the unique identification code in a Document Management System.
7. The method as claimed in claim 1 wherein an index for all the documents is created that enables easy retrieval and access of the documents.
8. A method as claimed in claim 1, further comprising the step of using a back up approach for an illegible unique identification code wherein the scanning operator keys in the code and associates document image with the paper profile after generation of warning.
9. A method as claimed in claim 1, comprising the step of displaying status of availability of document in the database, by a particular field, which is set to 'No' by default and gets changed to 'Yes' on the scanning and association of the document with the corresponding unique identification code paper profile.
10. A system for efficient e-filing by creating paper profile comprising: -
a) means for creating a paper profile;
b) a scanner for scanning;
c) memory means for storing the document with unique identification code;
d) means for recognition of document with unique identification code;
e) means for associating the scanned image of the document with the unique identification code;
f) means for back up approach;
g) means for tracking documents for quick verification of missing or damaged documents wherein the tracking of documents is effected by monitoring and comparing number of documents for which paper profiles have been created with respect to the total number of documents scanned.;
h) means for maintaining count; and
i) means for displaying status of availability of documents.
11. A system as claimed in claim 10 further comprising means for recognition of the unique identification code wherein the code is recognized by Natural Handwriting recognition (NHR) capability of the system so as to associate the scanned image of the document with the corresponding paper profile.
12. A system as claimed in claim 10 further comprising means for a back up approach for an illegible unique identification code wherein the scanning operator keys in the code and associates document image with the paper profile after generation of a warning.
13. A system as claimed in claim 10 wherein scanning operator keys in the unique identification code and associates the corresponding paper profile with document image.
14. A system as claimed in claim 11, comprises means for maintaining count of the total number of scanned documents and the number of profiles that have been created, which keeps a record of profile created for every document received.
15. A system as claimed in claim 10, comprising the means for displaying status of availability of document in the database, by a particular field, which is set to 'No' by default and gets changed to 'Yes' on the scanning and association of the document with the corresponding unique identification code paper profile.
