A Smart Attendance Management System With Proxy Control

Abstract: The present invention is related to a smart attendance management system (100) with two level attendance marking and monitoring system with the use of dedicated attendance app for scanning static and dynamic quick response codes. The system includes an administrator module (101), a class module (102) including a faculty terminal (105) and student terminal (103), a central cloud server (109) connected to both the administrator module (101) and the class module (102) through a dedicated attendance application (110). The time and attendance data analytics are made available from central server database. The smart attendance management system is cost effective in both at installation stage and at operating stage along with this it is fast, reliable and secure for tracking time and attendance of the user involved.

Specification

The present invention relates to an attendance management system, particularly to enable administrator to ensure secure, reliable and fast attendance management using quick response code scanning.
BACKGROUND
[002] Time and attendance system are generally employed to track and to monitor the people. It is a multi faceted activity. Generally employed in educational institutes to track the student location such as entering or leaving the class. On the work front the time and attendance system is used to keep the track of the employees working hour including arrival-departure time, start–stop time and absenteeism.
[003] Many methods have been employed to mark attendance. Manual attendance system of marking attendance is very tedious, complex for generating reports and the biggest disadvantage being it can be easily comprised in terms of reliability and accuracy, hence now a days the time and attendance system is automated. Modern attendance system includes scanning of RFID electronic tags, barcodes, biometric parameter such as fingerprint and facial recognition. Such system renders accurate time keeping and can further be employed to achieve functional excellence in generating user defined reports
[004] US8353705B2 relates to an RFID based tags which are sensed using wireless communication for generating a provisional attendance record (PAR) which is cross verified by the teacher holding a hand held device on which the PAR is available . The cross verification is done through visual inspection. The system is effective and less time consuming but RFID tags can be cloned thus compromising reliability and security.
[005] US20080272905A1 relates to an attendance management system involving the use of mobile phones with cameras installed on each desk of the student/learner. The information about the student’s presence is clicked, database is updated and sent to the teacher’s mobile for final report generation. The system is very costly to implement and has to maintain a heavy server database thus affecting the cost and speed.
[006] US7424618B2 relates to a biometric based access control and time and attendance systems involving a plurality of biometric input units connected through a communication network to the compact configurable system-on-chip (CSOC) processors which has wifi enabled feature. The CSOC is embedded with programmable logic architecture adapted for network communications. The increasing number of biometric spoofing involving the use of counterfeit mould emulates the unique biometric attribute of the person thus affecting the reliability and accuracy.
[007] S. Mishra, C. Kumar, A. Ali and J. Bala, "Online Attendance Monitoring System Using QR Code (OAMS)," 2021 2nd International Conference on Intelligent Engineering and Management (ICIEM), 2021, pp. 379-384 relates to a web application of making use of QR codes along with face recognition for marking attendance and accordingly generating record. For large scale system, the said framework involves hardware to be expensive and complex for maintaining the database and time consuming for fetching the information.
[008] However present invention is entirely different from the prior art in terms of the need to develop a system and method which is cost effective in both at installation stage and at operating stage, fast, reliable and secure for tracking time and attendance of the user involved.
SUMMARY
[009] The present invention is related to a smart attendance management system with two level attendance marking and monitoring system with the use of dedicated attendance app for scanning static and dynamic quick response codes. The time and attendance data analytics are made available from central server database.
[0010] In one of the implementations, the smart attendance management system (100) has a plurality of class rooms integrated with a wifi system for internet connectivity, audio/visual components , assistive listening device, student terminal (103) and faculty terminal (105).
[0011] In one of the implementations, the student terminal (103) includes desks integrated with class attendee unit (104) having a display screen.
[0012] In another implementation, the faculty terminal (105) includes a buzzer (107); a computer machine (106) with dedicated attendance app (110). The computer machine (106) is also networked to the student display screen.
[0013] In another implementation, the faculty activates the buzzer (107) for alerting the students to mark their attendance.
[0014] in another implementation, after buzzer beep alert the faculty generates a quick response code against the uploaded information by the faculty about the class timing, class attendance list and class room number.
[0015] In another implementation, the faculty has the option to generate quick response code generation which can be static or dynamic in nature.
[0016] In another implementation, the students are required to scan the code displayed on the screen using their mobile phones installed with dedicated attendance app (110).
[0017] In another implementation, the scanned quick response code prompts the user to enter his class roll number and registration number for marking the attendance.
[0018] In another implementation, the obtained information is updated on the cloud server which maintains the attendance database (109) which is visible to the interested parties involving students, parents, faculties and administrator for timely action and remarks.

DETAILED DESCRIPTION

[0022] Some embodiments of this disclosure, illustrating all its features, will now be discussed in detail.
[0023] The present invention is related to smart attendance management system (100) which offers fast attendance marking system which tracks the faculty and students while reducing the chance of proxy attendance along with impersonation.
[0024] In one of the embodiments, the attendance management system has two modules one is the administrator module (101) and the other is the class module (102).
[0025] In another embodiment, through the administrator module a dynamic quick response (QR) code is generated and is displayed at the entrances of the class room which has to be scanned by both the faculty and the student using a dedicated attendance app (110). This will act as level 1 attendance system which will update the attendance of the faculty and number of students entering the class in the database (109).
[0026] In another embodiment, through the administrator module the dynamic QR code is deactivated after a fixed time interval, thus ensuring time discipline in the class.
[0027] In another embodiment, once the faculty scans the QR code after entering the class the level 2 attendance system is activated which is the class module (102).
[0028] \Referring to figure 1, the class module has a student terminal (103) which is fitted with class attendee unit (104) having a display screen. The class attendee unit (104) is further networked to faculty terminal (105) which has a computer machine (106) and a buzzer (107).
[0029] In yet another embodiment referring to figure 1, after the faculty login to the attendance application through the computer machine (106) the faculty generates a quick response (QR) code with the information about the class timing, class attendance list and class room number.
[0030] In another embodiment referring to figure 1, the faculty alerts the students using an audio alert through buzzer (107) about the activation of the class attendee unit (104) after which the generated QR code is displayed on the screen. The students’ using the dedicated attendance app (110) scans the QR code and in turn fills in the information of roll number and registration number. The QR code link is deactivated by the faculty from his terminal (105) after predefined time period. Thus giving a brief interval for the students to scan the code
[0031] In another embodiment referring to figure 1, after QR code scanning by the students the attendance information is updated on the cloud server with database (109) which passes the requisite information to the interested parties like students, faculty, parents and administrator.
[0032] In another embodiment, under the failure of the internet or low internet speed the class wifi and gateway system (108) can be used for transferring the information and updating the database.
[0033] In another embodiment, the smart attendance management system (100) can be employed to ensure time discipline behaviour mapping of both the faculty and the students.
[0034] In another embodiment, the smart attendance management system (100) has two level attendance marking system and both the them uses mobile application installed in user’s smart so at each step mobile mapping with the QR code is done which further reduces the chances of making false attendance through any means.
[0035] In another embodiment, the display screen used at the entrance of the class room and in the class attendee unit has a display size of 3 cm × 3 cm whereas the QR code has resolution of 76 pixel × 76 pixel.
[0036] In another embodiment, for each student and faculty the dedicated attendance app (110) is registered with one mobile number thus restricting the user to scan QR code only for marking their attendance only.
[0037] In another embodiment, the time and attendance data analytics are made available from central server database (109) for timely action and remarks by the students, faculty, administrator and the student’s parents/guardians.
[0038] In another embodiment, the data analytics about the time and attendance are made available in display module for the administrator, faculty, students and parents in form of visual graphics as provided by dedicated attendance application (110).

EXAMPLE

[0039] Referring to figure 1, the smart attendance management system has a central facility which maintains the database at the cloud server (109) which exchanges and updates information through dedicated mobile app between the students’ terminal (103) and faculty terminal (105) whose master control is with the administrator at the administrator module (101).
[0040] In yet another embodiment, the computer machine (106) at the faculty terminal (105) is hard wired networked to the display devices attached to the class attendee unit (104) to allow the faculty to display the QR codes which may be dynamic or static depending upon his need and requirement to always add an element of surprise so as to break the routine attendance system to reduce the chances of marking false attendance by the students going either through proxy method or through impersonation.
[0041] In yet another embodiment, the class instructor has rights to cancel the attendance of the students who is not attending the class properly and disturbing other students. The system also helps the class instructor to classify the student as active, moderate or slow based on class being conducted and can guide the student accordingly.
[0042] In yet another embodiment, the marks obtained through regular attendance are being displayed to the instructor, student and parents accordingly for motivation, guidance and further action

We Claim:

1. A smart attendance management system (100) , wherein the attendance system comprises of :
a. an administrator module (101) which generates dynamic quick response code displayed at the entrance of each class room;
b. a class module (102) which is activated by the administrator module includes a faculty terminal (105), a student terminal (103);
c. a central cloud server (109) which is connected through a dedicated attendance application (110) to the administrator module (101) and to the class module (102);
and
d. a display module for the administrator, faculty , students and parents wherein, the display module provides prerequisite information about time and attendance in form of visual graphics as provided by attendance application (110).
2. The smart attendance management system (100) as claimed in claim 1, wherein, the student terminal includes a plurality of class attendee unit (104) which includes a display screen wired networked to the faculty terminal (105).
3. The smart attendance management system (100) as claimed in claim 1, wherein, the faculty terminal (105) includes a computer machine (106) and a buzzer (107).
4. The smart attendance management system (100) as claimed in claim 1, wherein the faculty has rights to cancel the attendance of student through dedicated attendance application (110) with notification to administrator module (101) for students creating nuisance in class.
5. A method of marking and obtaining attendance comprises:
a. generation, display and scanning of dynamic quick response code at the entrance of the class room, wherein, the dynamic quick response code is generated through the administrator module (101) as per the scheduled time table which is to be scanned by the faculty and students at the time of entry into the class room;
b. deactivation of dynamic quick response code through the administrator module (101) after predefined time period;
c. generation of quick response code by the faculty, wherein, after the faculty login to the attendance application (110) through the computer machine (106) the faculty generates a quick response code with the information about the class timing, class attendance list and class room number;
d. alerting and scanning, wherein, the faculty alerts the students using an audio alert through buzzer (107) about the activation of the class attendee unit (104) after which the generated code is displayed on the screen, the students’ using the dedicated mobile app (110) scans the code, in turn fills in the information of roll number and registration number;
and
e. deactivation of class code link from the computer terminal (105) after predefined time period.
