Abstract: The Admin Assist device is a small portable electronic gadget for school teachers to record and maintain student records. It will help teachers to enter data in the classroom itself. This can be thereafter transferred to computer. The software developed for the device will help in preparing different reports and prepare management information reports required by various authorities. The system will reduce the effort of manual maintenance of students data. The device will avoid duplication of work and errors possible in handwritten data recording system. The user can access the data daily, monthly or year wise. The said device is portable system which user can carry anywhere. The device is password protected so that misuse of it can be avoided.
1. The system for recording attendance and performance of the students in the schools is a small portable electronic system.
2. It will considerably help in data management and reports of the schools and can be integrated to get combined information at District/State/national level. The will help in getting reliable records and stops possibility of misuse for manipulation of data. 3.The said hierarchy contains the integrated modules including micro controller, peripherals as LCD, EEPROM, KEYPAD, RTC, serial port ,on board 5volt power supply.The integration of all these modules comprises a whole system for storing the attendance in the memory and collecting this data whenever user wants to have access to it Each module is communicated to each other through the protocols like I2C,UART,SPI. The UART system is used for communicating the device with the computer so as to transfer the data from the memory. The real time data capturing is possible with the help of Real time clock system. LCD is a 16x2 colour display which can display total 32 characters at a time on it. The said system is very simple implementation and no special training is required for its operation. 4.The invention described in claim 1 has very easy functional simplicity for connecting the hardware.The data logging system is user interface on computer where there is software consisting of total information about the storing parameters from the memory. 5.The admin device mentioned in claim 1 contains the keypad of total 16 keys which is user accessible containing functional keys ,status keys and control keys. 6.A admin device is a substantially as here in described and illustrated in the figures of the accompanying drawings.

Field Of Invention:
The invention is to help school teachers to keep record of students in a hand held electronic device. Teacher will able to record attendance and performance of students on click of button.The data can be transferred and processed, analysed and reports can be generated..
Background of the Invention:
The Government, at national, state and local levels, are taking big steps towards universalization of education. Records like school enrolment, attendance of students, their performance etc is required by school managements at every level. It is required by school teachers, school principals, district education officers, state government and even policy makers at national level. Therefore accuracy of these records is very important. At present the records are kept manually in handwritten registers and logbooks. Due to the large numbers of students and equal number of data to be collected everyday , proper processing and subsequent interpretation of this data is not done, or inadequately done. The hand written data can be easily manipulated, giving improper information to the school administration. Analysing of handwritten data and using it to draw conclusions is very tedious task. Many times this primary information is not used by teachers to monitor performance of students. This affects decision making in several ways.
Object Of Invention:
The invention basically seeks to simplify the administrative tasks that a typical rural school teacher must carries out. The system comprises of a means for capturing the data on-site, a means to interface with processing units and the software employed for processing this data.
There is a pressing need to streamline the process of capturing all this data, to be able to subsequently process it in a more efficient manner. Also, capturing this data in a digital format will also save time spent in digitizing/computerizing data which is still mostly collected in a handwritten format.
Summary Of Invention:
The said invention has come up with a novel way to address the said problems. The description given hereinafter will provide a brief outline of the present invention/concept.
To assist with understanding the invention, reference will now be made to accompanying drawings, which shows the flow of invention.

Fig.2 and Fig.3 shows the application of such device for accessing the status of the students through a hand held data logger.

Detailed Description Of Preferred Embodiment:
Refer to FIG.1,2 and 3.it shows the said invention consists of following parameters-
The microcontroller unit is the main processor that will process the peripheral data as per the user
interest. From the FIG.3 it can be seen that the system is a integration of the parameters as-
1.Atmega 16 microcontroller
2. LCD display
3.EEPROM memory
4.Keypad Unit
5.Seria\ Port Unit
6.Realtime Clock (RTC)
7.Power Supply Unit (5volt)
The above units communicated with each other. This system collects data from the user(teachet). The accessible component for the user is the 4x4 keypad which has total 16 keys which are numbered from
0 to 9 and some control keys. The LCD which is 16x2 character enable users to see the different types
of messages on it.
As soon as the system boots up it will flash the messages on LCD like-
1.Start Attendance
2.send Records from Memory
3.Display Current time
4.send auto message facility to parents(will be added)
The system works in the following steps-
1. User selects the required option and , the system will internally process the things.
E.g. if user presses 1 from keypad the system will ask user the "Enter No. Of Students" message meaning that how many number of students data want to collect each student is assigned a unique number which is common practice.
2. once the user enters the number of students , system will start asking the status of each students by
flashing messages like
"Roll No.01(Y/N)?".here 01 is roll number of first student and will be incremented each time as user
presses status keys from the keypad like "Y" or "N".
where,
"Y"-Student is present and
"N"-Student is absent.
The user can enter up to 1000 to 1500 data at a time, we have done testing on 100 students.
3.lf user enters large number than defined in the system, it will throw a error message on LCD flashing as "Number excedded..".
4.Once the user finishes by taking the attendance the system will show total information about the present numbers and absent numbers. This information along with status as Y or N will be directly get stored in the memory at run time.
5,The total external memory for now is 64 Kilobits. Finally if user wants to get the previously recorded data, user can press key 2 from the keypad and the data stored in the memory will displayed on the
LCD display, as well as transfer to the computer through serial port. This data consists of the status of the students by their roll no. wise and the time and date at which data recorded.
6.0nce the data is transferred to computer a software comprises User interface which consists of the total name of the students by their roll number is developed. This data from memory will act as a status and shift directly in front of the students name as per the roll number. The date and time will be collected in the time/date column.
7. In the column of total numbers present numbers and absent numbers, the respective values will get loaded from the systems memory.
Alterations to the present invention/ components thereof are possible. A whole range of Admin Assist models can be constructed based on the level of complexity desired, starting from a basic model to simply log attendance data to advance versions. Functions can be layered on this basic model to provide for logging and subsequently processing tasks with increasingly wider scope. This will entail changes to the user interface of the Admin Assist to suit requirements, and will affect the choice and nature of the storage medium of the Admin Assist.
8.It is possible to integrate GIS information with the help of GPRS to know the geographical position of the user while entering data.

1. Connectivity by means of USB, RS232 and Ethernet ports, for computer interfacing.
2. Adequate Flash memory on-board. Right now, we intend it to be 512 MB - this will store records for 100 students for one year.
3. In-System Programmable 8-bit MCU. System can be upgraded on Intenet through various communication means (such as Ethernet, Wireless Cards etc.)
4. Capable of working on AC 230V input, as well as 9V, 1A batteries.
5. Attendance to be recorded on a one-key press.
