Abstract: The present disclosure envisages an integrated pre-assessment and recruitment system and a method thereof. The system comprising a question database to store a plurality of questions, a registration module to register the candidates by accepting a candidate data, an assessment module assess the candidate based on assessment score, a verification module to verify the candidate data to generate verified candidate data, a vacancy generation module to generate a vacancy based on vacancy details, a candidate selection module to select at least one candidate based on comparison of the candidate details, the assessment score with the vacancy details, an offer generation module to send the offer to the selected candidate, an on-boarding module to facilitate on-boarding of the selected candidate, if the selected candidate accepts the offer.

The present disclosure relates to recruitment systems.
DEFINITIONS OF TERMS USED IN THE SPECIFICATION
The expression ‘Proxy Recruitment Risk’ used hereinafter in this specification refers to a risk which can typically arise in mass recruitment where another person reports for joining instead of the one who has cleared the assessments. There is a need to validate the employees before joining to avoid the proxy recruitment risk.
The expression ‘Candidate’ used hereinafter in this specification refers to a person who is seeking the job in an organization.
The expression ‘Assessment Test’ used hereinafter in this specification refers to the test taken by the candidates for assessing the candidates. The assessment test may include multiple choices test, text based test, programming test, typing test and the like.
The expression ‘User Device’ used hereinafter in the specification refers to a device, used by the user, wherein the user device includes, but is not limited to, a mobile phone, a laptop, a tablet, an iPad, a PDA, a notebook, a net book, a smart device, a smart phone, a personal computer.
These definitions are in addition to those expressed in the art.
BACKGROUND
A recruitment process in any organization, typically begins when a position is released for recruitment, i.e., in case of a vacancy. On release of a vacant position, the recruiter gets an intimation to start selection process. The selection process usually includes searching suitable candidates, checking interests, conducting test(s) / interview(s) for the candidates, and completing their assessments. On completion of these stages, a relevant candidate is selected and an offer is made. If the candidate agrees to the terms of employment, pre-joining formalities and other verification checks are carried out. The candidate is on-boarded finally on successful completion of the above mentioned process, and the vacant position is closed.
This conventional recruitment process happens sequentially and requires a turnaround time of approximately 60 days for selection. As the selection process starts only after release of a vacant position, the position remains vacant throughout the selection process thereby impacting the business. Such impact is significantly greater in case of positions, with high attrition, that require customer interactions.
Therefore, there is felt a need to limit the aforementioned drawbacks and provide a system for recruitment which reduces turnaround time of the selection process.
OBJECTS
Some of the objects of the present disclosure aimed to ameliorate one or more problems of the prior art or to at least provide a useful alternative are listed herein below.
An object of the present disclosure is to provide an integrated pre-assessment and recruitment system for creating a pipeline of candidates for anticipated requirement(s).
Another object of the present disclosure is to provide an integrated pre-assessment and recruitment system for assessing the candidates for recruitment purposes and create a talent pool.
Yet another object of the present disclosure is to provide an integrated pre-assessment and recruitment system for verifying documents of selected candidates.
Still another object of the present disclosure is to provide an integrated pre-assessment and recruitment system which reduces the risk of proxy recruitment.
Yet another object of the present disclosure is to provide an integrated pre-assessment and recruitment system which operates seamlessly, irrespective of different locations and verticals of an organization.
One another object of the present disclosure is to provide an integrated pre-assessment and recruitment system which enables recruiters to share candidate pools with each other.
A further object of the present disclosure is to provide an integrated pre-assessment and recruitment system which reduces turnaround time of the selection process.
Other objects and advantages of the present disclosure will be more apparent from the following description when read in conjunction with the accompanying figures, which are not intended to limit the scope of the present disclosure.
SUMMARY
The present disclosure envisages an integrated pre-assessment and recruitment system comprising a plurality of user devices and a server. The plurality of user devices is corresponding to a plurality of candidates. The server cooperates with the plurality of user devices. The server comprising a memory, a processor, a question database, a registration module, an assessment module, a verification module, a vacancy generation module, a candidate selection module, an offer generation module and an on-boarding module.
The memory stores a plurality of pre-defined server processing rules.
The processor cooperates with the memory to receive the pre-defined server processing rules and generates server processing commands. The question database is stores a plurality of questions corresponding to the various domains. The registration module receives candidate data including candidate details and supporting document copies, with respect to each of the candidates and registers the candidates. The assessment module cooperates with the registration module and the question database to receive the candidate details for each of the candidates and the plurality of question, respectively. The assessment module comprising a test creation module, a testing module and an assessment scoring module. The test creation module receives the candidate details for each of the candidate and the plurality of question and creates an assessment test for each of the candidate. The testing module receives a test response from each of the candidate with respect to the assessment test. The assessment scoring module receives the test response from each of the candidate and analyses the test responses to assign an assessment score to each of the candidate. The verification module cooperates with the registration module to receive the candidate data and verifies the candidate data to generate verified candidate data. The vacancy generation module generates a vacancy based on vacancy details provided by an authorized person. The candidate selection module cooperates with the registration module, the assessment scoring module and the vacancy generation module to receive the candidate details, the assessment score of each of the candidate, and the vacancy details, respectively. The candidate selection module selects at least one candidate based on comparison of the candidate details, the assessment score of each of the candidate with the vacancy details. The offer generation module generates an offer for the selected candidate and sends the offer to the selected candidate. The on-boarding module facilitates on-boarding of the selected candidates, if selected candidate accepts the offer.
In an embodiment, the system further comprises a candidate database, a vacancy database and an employee database. The candidate database stores the candidate data, verified candidate data, with respect to the plurality of the candidates. The vacancy database stores generated vacancy along with the vacancy details. The employee database stores the employee details of the on-boarded selected candidates.
In an embodiment, the question database stores a plurality of assessment test. In an embodiment, the testing module receives video of an interview.
In an embodiment, the candidate data include name of candidate, address details, education details, candidate interests, job location preference, current location of candidate, date of registration, registration update date, prior-employment information, AADHAR card information.
In an embodiment, the verification module verifies the candidate data using the government databases and third party verification.
In an embodiment, the system further includes an updater module update the employee database to include new employee details.
The present disclosure also envisages a method for integrating pre-assessment and recruitment processes, said method comprising:
• storing, in a memory, a plurality of pre-defined server processing rules;
• receiving the pre-defined server processing rules and generating server processing commands, by a processor;
• storing, by a question database, a plurality of questions corresponding to various domains;
• receiving candidate data including candidate details and supporting document copies with respect to each of the candidates, and registering the candidates, by a registration module;
• receiving the candidate details for each of the candidates and the plurality of questions, and creating an assessment test for each of the candidate, by a test creation module;
• receiving, by a testing module, a test response from each of the candidate with respect to the assessment test;
• analysing, by the assessment scoring module, the test responses to assign a assessment score to each of the candidate;
• verifying, by a verification module, the candidate data to generate verified candidate data;
• generating, by a vacancy generation module, a vacancy based on vacancy details provided by an authorized person;
• receiving, the candidate details, the assessment score of each of the candidate, and the vacancy details, and selecting at least one candidate based on comparison of the candidate details, the assessment score of each of the candidate with the vacancy details, by a candidate selection module;
• generating, by an offer generation module, an offer for the selected candidate and sending the offer to the selected candidate; and
• facilitating, by an on-boarding module, on-boarding of the selected candidate, if the selected candidate accepts the offer.

DETAILED DESCRIPTION
The conventional recruitment process requires a turnaround time of approximately 60 days for recruiting a candidate. The recruitment process starts only after release of a vacant position, and the position remains vacant throughout the recruitment process thereby impacting the work at organization. Therefore, there is felt a need of system and method which the present disclosure envisages an automated onboarding system and method which facilitates creation of talent pool by pre-assessment and reduces the turnaround time to one day.
Figure 1 illustrates a schematic block diagram of the integrated pre-assessment and recruitment system (100). The integrated pre-assessment and recruitment system (100) comprises a plurality of user devices (M) and a server (10).
The plurality of user devices (M) is associated with a plurality of candidates (N). Each of the candidates uses their user devices for accessing the server (10) for pre-assessment and recruitment purposes.
The server (10) is configured to cooperate with the plurality of user devices. The server (10) comprising a memory (12), a processor (14), a question database (16), a registration module (30), an assessment module (40), a verification module (50), a vacancy generation module (60), a candidate selection module (70), an offer generation module (80), and an on-boarding module (90).
The memory (12) is configured to store a plurality of pre-defined server processing rules. The memory (12) may include any computer-readable medium known in the art including, for example, volatile memory, such as static random access memory (SRAM) and dynamic random access memory (DRAM), and/or a non-volatile memory, such as read only memory (ROM), erasable programmable ROM, flash memories, hard disks, optical disks, and magnetic tapes. In an embodiment, the predefined server processing rules includes registration rules, assessment rules, test creation rules, test analysis rules, verification rules, selection rules, onboarding rules and the like.
The processor (14) is configured to cooperate with the memory (12) to receive the pre-defined server processing rules. The processor (14) is further configured to generate server processing commands. The processor (14) may be implemented as one or more microprocessors, microcomputers, microcontrollers, digital signal processors, central processing units, state machines, logic circuitries, and/or any devices that manipulate signals based on operational instructions. Among other capabilities, the processor (14) may be configured to fetch and execute computer-readable instructions that may be stored in the memory (12).
The question database (16) is configured to store a plurality of questions corresponding to various domains. In an embodiment, the question database is configured to store a plurality of assessment test related to the various domains.
The registration module (30) is configured to receive candidate data including candidate details and supporting document copies, with respect to each of the candidates. The registration module (30) is further configured to register the candidates.
In an embodiment, the candidate data may include name of candidate, address details, education details, candidate interests, job location preference, current location of candidate, date of registration, registration update date, prior-employment information, email id, skills, photograph, domain, unique identification number (passport number, aadhar number, pan card number), and other information of similar nature. In an embodiment, the registration module (30) identifies missing details in the candidate data and sends an alert to the candidate for receiving the missing details.
In an embodiment, the registration module (30) is integrated with multiple sourcing channels for creating talent pool having the candidate data of multiple candidates. The multiple sourcing channels includes: (a) careers website (b) integrated posting to job boards (c) integrated allocation to external partners - NGOs (d) integrated allocation to empanelled external search partners (e) employee referrals (f) social media postings (g) integrated empanelled colleges (h) integrated posting to alumni portal. In an embodiment, the registration module also captures IP address, latitude and longitude of the candidate’s user device to identify the validity of location.
In another embodiment, the registration module (30) receives the candidate data in the form of a text or voice or images. In yet another embodiment, the registration module (30) receives biometric data of a user/candidate for authenticating the user/candidate to reduce the risk of proxy recruitment. In another embodiment, the registration module (30) accepts documents from the candidates for verification purpose. In yet another embodiment, the registration module (30) stores the candidate data in a candidate database (18).
In another embodiment, using the registration module (30) candidate can update the candidate data periodically or at pre-defined intervals which enable the candidate to keep their profile updated.
The assessment module (40) is configured to cooperate with the registration module (30) and the question database (16) to receive the candidate details for each of the candidate and the plurality of question, respectively. The assessment module (40) comprising a test creation module (42), a testing module (44), and an assessment scoring module (46).
The test creation module (42) is configured to receive the candidate details for each of the candidates and the plurality of questions. The test creation module (42) is further configured to create an assessment case for each of the candidate.
The test creation module (42) creates assessment tests for assessing new candidates. In an embodiment, the question database (16) stores plurality of questions for assessing the candidates. The test creation module (42) cooperates with the question database (16) to receive the plurality of questions and further create tests based on received questions in accordance with the candidate data such as candidate’s education details, candidate interests, prior-employment information and the like. The test creation module (42) after creating an assessment test stores the assessment test in the question database (16).
In another embodiment, the test creation module (42) classifies the candidate in accordance with the candidate data such as candidate’s education details, candidate interests, prior-employment information and the like. The test creation module (42) further selects an assessment test from the plurality of assessment test stored in the question database (16), based on the candidate’s classification. In an embodiment, the assessment test is in a form of, but is not limited to, online case study, online group discussion, objective test, and the like.
The testing module (44) is configured to receive a test response from each of the candidate with respect to the assessment test. In an embodiment, the testing module (44) facilitates the candidate to take up the assessment test on their respective user device. In another embodiment, the testing module (44) also captures the video of an interview and stores it in the candidate database (18) which is used for the assessment of the candidate. In an embodiment, the candidate picture while they are taking the test/ interviews. These pictures can be used for facial recognition to reduce the risk of proxy hiring, at the time of joining. Photo of the candidate is taken and One Time Password (OTP) is sent to the candidate to ensure that candidate is taking test under supervision.
The assessment scoring module (46) is configured to receive the test response from each of the candidates and further configured to analyse the test responses to assign assessment score to each of the candidates. In an embodiment, the assessment scoring module (46) also analyses the interview of the candidate to assign assessment score. In an embodiment, the assessment score is assigned based on the candidate performance in the test and the interview.
The verification module (50) is configured to cooperate with the registration module (30) to receive the candidate data and is further configured to verify the candidate data to generate verified candidate data. In an embodiment, the candidate database (18) stores the verified candidate data.
In an embodiment, the verification module (50) verifies the candidate data such as name of a candidate, address details, education details, candidate interests, job location preference, current location of candidate, date of registration, registration update date, prior-employment information, AADHAR card information and the like using the government databases. In an embodiment, the verification module (50) verifies the candidate data third party verification, internal verification and the like. If some discrepancies are found during the verification process, there is an option of blacklisting the candidate using the verification module (50). In an embodiment, the verification module (50) also identifies and removes the blacklisted candidates. In an embodiment, the verification module (50) compares the photo of candidate provided at the time of registration with the photo present at government database (aadhar database) to avoid the risk of proxy hiring.
The vacancy generation module (60) is configured to generate a vacancy based on the vacancy details provided by an authorized person. The vacancies are with respect to different positions in a company/organization. The vacancies details include information such as type of required candidates, minimum assessment score, job location, job description, number of vacancies, minimum experience required and the like. In an embodiment, the authorized person is a recruiter or hiring manager. In an embodiment, the vacancies and vacancy details are stored in a vacancy database (20).
The candidate selection module (70) is configured to cooperate with the registration module (30), the assessment scoring module (46) and the vacancy generation module (60) to receive the candidate details, the assessment score of each of the candidate, and the vacancy details, respectively. The candidate selection module (70) is further configured to select at least one candidate (C) based on comparison of the candidate details, the assessment score of each of the candidate with the vacancy details.
The offer generation module (80) is configured to generate an offer for the selected candidate (C) and is further configured to send the offer to the selected candidate (C).
The on-boarding module (90) is configured to facilitate on-boarding of the selected candidate (C), if the selected candidate (C) accepts the offer.
Once the recruitment process is completed, an updater module (92) configured to cooperate with the on-boarding module (90) to update the employee database (22) to include the details of new employee (on-boarded employee).

At block 222, generating an offer for the selected candidate (C) and sending the offer to the selected candidate (C). In an embodiment, the offer generation module (80) generates an offer for the selected candidate (C) and sends the offer to the selected candidate (C).
At block 224, facilitating on-boarding of the selected candidates (C), if selected candidate (C) accept the offer. In an embodiment, an on-boarding module (90) facilitates on-boarding of the selected candidate (C), if the selected candidate (C) accepts the offer.
TECHNICAL ADVANCEMENTS
The present disclosure described herein above has several technical advantages including, but not limited to, the realization of an integrated pre-assessment and recruitment system and method, which:
• creates a pipeline of candidates for anticipated requirement(s);
• assesses the candidates for recruitment purposes and create the talent pool;
• verifies documents of selected candidates;
• reduces the risk of proxy recruitment;
• operates seamlessly, irrespective of different locations and verticals of an organization;
• enables recruiters to share candidate pools with each other; and
• reduces turnaround time of the selection process.
The embodiments herein and the various features and advantageous details thereof are explained with reference to the non-limiting embodiments in the following description. Descriptions of well-known components and processing techniques are omitted so as to not unnecessarily obscure the embodiments herein. The examples used herein are intended merely to facilitate an understanding of ways in which the embodiments herein may be practiced and to further enable those of skill in the art to practice the embodiments herein. Accordingly, the examples should not be construed as limiting the scope of the embodiments herein

a plurality of user devices (M) corresponding to a plurality of candidates (N); and
a server (10) configured to cooperate with the plurality of user devices (M), the server comprising:
a memory (12) configured to store a plurality of pre-defined server processing rules;
a processor (14) configured to cooperate with the memory (12) to receive the pre-defined server processing rules and further configured to generate server processing commands;
a question database (16) configured to store a plurality of questions corresponding to the various domains;
a registration module (30) configured to receive candidate data including candidate details and supporting document copies, with respect to each of the candidates and further configured to register the candidates;
an assessment module (40) configured to cooperate with the registration module (30) and the question database (16) to receive the candidate details for each of the candidates and the plurality of questions, respectively, the assessment module (40) comprising:
a test creation module (42) configured to receive the candidate details for each of the candidates and the plurality of questions and further configured to create an assessment test for each of the candidates;
a testing module (44) configured to receive a test response from each of the candidates with respect to the assessment test; and
an assessment scoring module (46) configured to receive the test response from each of the candidates and further configured to analyse the test responses to assign a assessment score to each of the candidates;
a verification module (50) configured to cooperate with the registration module (30) to receive the candidate data and further configured to verify the candidate data to generate verified candidate data;
a vacancy generation module (60) configured to generate a vacancy based on vacancy details provided by an authorized person;
a candidate selection module (70) configured to cooperate with the registration module (30), the assessment scoring module (46) and the vacancy generation module (60) to receive the candidate details, the assessment score of each of the candidates, and the vacancy details, respectively, and further configured to select at least one candidate (C) based on comparison of the candidate details, the assessment score of each of the candidates with the vacancy details;
an offer generation module (80) configured to generate an offer for the selected candidate (C) and further configured to send the offer to the selected candidate; and
an on-boarding module (90) configured to facilitate on-boarding of the selected candidates (C), if the selected candidate accepts the offer.
2. The system as claimed in claim 1, wherein the system (100) further comprising:
a candidate database (18) configured to store the candidate data, and verified candidate data, with respect to the plurality of the candidates;
a vacancy database (20) configured to store the generated vacancy along with the vacancy details; and
an employee database (22) configured to store the employee details of the on-boarded selected candidates (C).
3. The system as claimed in claim 1, wherein the question database (16) further stores a plurality of assessment test.
4. The system as claimed in claim 1, wherein the testing module (44) is further configured to receive video of an interview.
5. The system as claimed in claim 1, wherein the candidate data include name of candidate, address details, education details, candidate interests, job location preference, current location of candidate, date of registration, registration update date, prior-employment information, AADHAR card information.
6. The system as claimed in claim 1, wherein the verification module (50) verifies the candidate data using the government databases and third party verification.
7. The system as claimed in claim 1, wherein the system further includes an updater module (92) configured to update the employee database (22) to include new employee details.
8. A method for integrating pre-assessment and recruitment processes, said method comprising:
storing, in a memory (12), a plurality of pre-defined server processing rules;
receiving the pre-defined server processing rules and generating server processing commands, by a processor (14);
storing, by a question database (16), a plurality of questions corresponding to various domains;
receiving candidate data including candidate details and supporting document copies with respect to each of the candidates, and registering the candidates, by a registration module (30);
receiving the candidate details for each of the candidates and the plurality of questions, and creating an assessment test for each of the candidates, by a test creation module (42);
receiving, by a testing module (44), a test response from each of the candidates with respect to the assessment test;
analysing, by the assessment scoring module (46), the test responses to assign a assessment score to each of the candidates;
verifying, by a verification module (50), the candidate data to generate verified candidate data;
generating, by a vacancy generation module (60), a vacancy based on vacancy details provided by an authorized person;
receiving, the candidate details, the assessment score of each of the candidates, and the vacancy details, and selecting at least one candidate (C) based on comparison of the candidate details, the assessment score of each of the candidates with the vacancy details, by a candidate selection module (70);
generating, by an offer generation module (80), an offer for the selected candidate (C) and sending the offer to the selected candidate (C); and
facilitating, by an on-boarding module (90), on-boarding of the selected candidate (C), if the selected candidate (C) accepts the offer.
