Abstract: Present invention introduces an integrated system for calculating saving at several stages of procurement cycle by auto-fetching spend data into Savings Tracker System. The system comprises: a processor unit; and a computer readable medium storing instructions executable by the processor unit comprising: Spend Data Input System adapted for auto-fetching of spend data from respective system; Savings Computing System adapted for computing savings at several stages of procurement cycle by comparing baseline spend and spend at each stage of procurement cycle; by general formula :- (Baseline Spend) - (Spend at specific stage of procurement cycle) = (Savings at respective stage of procurement cycle) and Display System adapted for displaying savings at respective stages of procurement cycle.

THE FOLLOWING SPECIFICATION PARTICULARLY DESCRIBES THE INVENTION AND THE MANNER IN WHICH IT IS TO BE PERFORMED
FIELD OF THE INVENTION
The present invention relates generally to electronic procurement and more particularly to calculating saving by auto-fetching spends data. Present invention discloses an integrated system and a method for calculating savings at several stages of procurement cycle by auto-fetching spend data into Savings Tracker System.
BACKGROUND OF THE INVENTION
Once the procurement professionals decide the good(s) to buy, a sourcing project for the good is launched. Sourcing project has multiple stages and savings can be reported across each stage till the time of buying. These stages could be Potential Stage, Negotiated Stage, Contract Stage, Implemented Stage and Realized Stage. The challenge is how to estimate spend data (baseline spend) at each stage to calculate the savings by comparing baseline spend and actual spend. Generally, at each of these stages, savings are calculated by providing spend data manually. Present invention provides an advantage over it by introducing an integrated system and a method for calculating savings at several stages of procurement cycle by auto-fetching spend data into Savings Tracker System. This baseline spend data is fetched automatically from different systems i.e. Spend and Savings Analysis System, Database of Contracts of suppliers; Auction and Bids Information System and E-procurement System, integrated with savings tracker system at each different stage of procurement cycle.
SUMMARY OF THE INVENTION
Present, invention introduces an integrated system and a method for calculating saving at several stages of procurement cycle by auto-fetching spend data into Savings Tracker System. Present system and method involves auto-fetching of baseline spend
data from different systems i.e. Spend and Savings Analysis System,. Database of Contracts of suppliers; Auction and Bids Information System and E-procurement System, integrated with savings tracker system at each different stage of procurement cycle.
An object of present invention is to provide an integrated system and a method for calculating saving at several stages of procurement cycle by auto-fetching spend data into Savings Tracker System.
Another object of present invention is to provide a system and a method for auto-fetching of baseline spend data from different systems i.e. Spend and Savings Analysis System, Database of Contracts of suppliers; Auction and Bids Information System and E-procurement System, integrated with savings tracker system at each different stage of procurement cycle.

- a processor unit; and
- a computer readable medium storing instructions executable by the processor unit comprising:
- Spend Data Input System adapted for auto-fetching of spend data from respective system;
- Savings Computing System adapted for computing savings at several stages of procurement cycle by comparing baseline spend and spend at each stage of procurement cycle; by general formula :-
(Baseline Spend) - (Spend at specific stage of procurement cycle) = (Savings at respective stage of procurement cycle) and
- Display System adapted for displaying savings at respective stages of procurement cycle.

The same reference numerals refer to the same parts throughout the various Figures.
DETAILED DESCRIPTION OF THE INVENTION
The following description of the preferred embodiment(s) is merely exemplary in nature and is in no way intended to limit the invention, or uses.
Referring to Figs. 1-12, and according to an exemplary embodiment, a system containing an integration of several systems for calculating saving at several stages of procurement cycle by auto-fetching spend data into Savings Tracker System, the system comprising:
- a processor unit; and
- a computer readable medium storing instructions executable by the processor unit comprising:
- Spend Data Input System adapted for auto-fetching of spend data from respective system;
- Savings Computing System adapted for computing savings at several stages of procurement cycle by comparing baseline spend and spend at each stage of procurement cycle; by general formula :-
(Baseline Spend) - (Spend at specific stage of procurement cycle) = (Savings at respective stage of procurement cycle) and
- Display System adapted for displaying savings at respective stages of
procurement cycle.
According to an exemplary embodiment, the system contains an integration of Spend and Savings Analysis System, Auction and Bids Information System, Database of Contracts of Suppliers and E-Procurement System with Saving Tracker System.
According to another exemplary embodiment, the several stages of procurement cycle may include Potential Stage, Negotiated Stage, Contract Stage, Implemented Stage and Realized Stage. The Potential Stage of the procurement cycle being initial stage of procurement cycle where spends are forecasted and the savings at Potential Stage are Potential/ Forecasted Savings. The Negotiated Stage is the stage where price negotiation being done by buyer and spends being re-forecasted as per new price negotiations; and the savings at Negotiated Stage are Negotiated Savings. While the Implemented Stage is a stage where the price of purchasing of the goods is finalized; and the savings at
Implemented Stage are Implemented Savings and the Realized Stage is a stage where actual price is paid to the vendor; and the savings at Realized Stage are Realized Savings.
According to yet another exemplary embodiment, these stages of procurement cycle are mapped to several different systems i.e. Spend and Savings Analysis System, Auction and Bids Information System, Database of Contracts of Suppliers and E-Procurement System, adapted for gathering information automatically from these systems when the project reach at respective stage, which further aids to forecast the spend and calculate savings.
According to still another exemplary embodiment, spend data at potential stage is obtained from Spend and Savings Analysis System. The system enables user to select the spend data of specific year as potential spend based on pre-configured decision rule. Spend data at Negotiated Stage is obtained from Auction and Bids Information System. The system enables the user to select specific bidder's information as Negotiated Spend based on pre-configured decision rule. Database of Contracts of Suppliers provides spend data at Implemented Stage which is agreed contracted price for the item and E-Procurement System provides spend data at Realized Stage which is invoiced spend data for the item.
According to another exemplary embodiment, Savings at each of these stages i.e. Potential Stage, Negotiated Stage, Contract Stage, Implemented Stage and Realized Stage are calculated respectively by the formulae:-
(Baseline Spend) - (Potential/ Forecasted Spend) = Potential/ Forecasted Savings
(Baseline Spend) - (Negotiated Spend) = Negotiated Savings (Baseline Spend) - (Implemented Spend) = Implemented Savings (Baseline Spend) - (Realized Spend) = Realized Savings

What is claimed is:
1. An integrated system for calculating savings at several stages of procurement
cycle by auto-fetching spend data into Savings Tracker System; the system comprising:
- a processor unit; and
- a computer readable medium storing instructions executable by the processor unit comprising:
- Spend Data Input System adapted for auto-fetching of spend data from respective system at each stage of procurement cycle
- Savings Computing System adapted for computing savings at several stages of procurement cycle by comparing baseline spend and spend at each stage of procurement cycle; by general formula :-
(Baseline Spend) - (Spend at specific stage of procurement cycle) = (Savings at respective stage of procurement cycle) and
- Display System adapted for displaying savings at respective stages of
procurement cycle.
2. The system as claimed in claim 1, wherein, the system contains an integration of Spend and Savings Analysis System, Auction and Bids Information System, Database of Contracts of Suppliers and E-Procurement System with Saving Tracker System.
3. The system as claimed in claim 1, wherein, the several stages of procurement cycle may include Potential Stage, Negotiated Stage, Contract Stage, Implemented Stage and Realized Stage.
4. The system as claimed in claim 3, wherein, the baseline spend data at potential stage is obtained from Spend and Savings Analysis System; the Potential/ Forecasted Savings being calculated by the formula: - (Baseline Spend) - (Potential/ Forecasted Spend) = Potential/ Forecasted Savings.
5. The system as claimed in claim 4, wherein, the system enables user to select the spend data of specific year as potential spend based on pre-configured decision rule.
6. The system as claimed in claim 3, wherein, the baseline spend data at Negotiated Stage is obtained from Auction and Bids Information System; the Negotiated Savings being calculated by the formula: - (Baseline Spend) - (Negotiated Spend) = Negotiated Savings.
7. The system as claimed in claim 6, wherein, the system enables the user to select specific bidder's information as Negotiated Spend based on pre-configured decision rule.
8. The system as claimed in claim 3, wherein, the Database of Contracts of Suppliers provides spend data at Implemented Stage; the Implemented Savings being calculated by the formula:- (Baseline Spend) - (Implemented Spend) = Implemented Savings.
9. The system as claimed in claim 3, wherein, the E-Procurement System provides baseline spend data at Realized Stage; the Realized Savings being calculated by the formula:- (Baseline Spend) - (Realized Spend) = Realized Savings.
10. A method for calculating savings at several stages of procurement cycle by auto-
fetching spend data into Savings Tracker System; the method comprising:
- a method for auto-fetching of spend data from respective system of integrated systems;
- a method of computing savings at several stages of procurement cycle by comparing baseline spend and spend at each stage of procurement cycle by general formula :-
(Baseline Spend) - (Spend at specific stage of procurement cycle) = (Savings at respective stage of procurement cycle); and
- a method for displaying savings at respective stages of procurement cycle.

The method as claimed in claim 10, wherein, the savings being calculated by a method involved in the system containing an integration of Spend and Savings Analysis System, Auction and Bids Information System, Database of Contracts of Suppliers and E-Procurement System with Saving Tracker System.
12. The method as claimed in claim 10, wherein, the method calculates savings at several stages of procurement cycle which may include Potential Stage, Negotiated Stage, Contract Stage, Implemented Stage and Realized Stage.

The method as claimed in claim 12, wherein, the method of calculating Potential/ Forecasted Savings involves obtaining the baseline spend data at Potential Stage from the Spend and Savings Analysis System; the method further calculates Potential/ Forecasted Savings by the formula: - (Baseline Spend) - (Potential/ Forecasted Spend) = Potential/ Forecasted Savings.
14. The method as claimed in claim 13, wherein, the method enables user to select the spend data of specific year as potential spend based on pre-configured decision rule.

The method as claimed in claim 12, wherein, the method of calculating Negotiated Savings involves obtaining the baseline spend data at Negotiated Stage from the Auction and Bids Information System; the method further calculates Negotiated Savings by the formula: - (Baseline Spend) - (Negotiated Spend) = Negotiated Savings.
16. The method as claimed in claim 15, wherein, the method enables the user to select specific bidder's information as Negotiated Spend based on pre-configured decision rule.
17. The method as claimed in claim 12, wherein, the method of calculating Implemented Savings involves obtaining baseline spend data at Implemented Stage from the Database of Contracts of Suppliers; the method further calculates Implemented Savings by the formula:- (Baseline Spend) - (Implemented Spend) = Implemented Savings.

The method as claimed in claim 12, wherein, the method of calculating Realized Savings involves obtaining the baseline spend data at Realized Stage from the E-Procurement System; the method further calculates Realized Savings by the formula."-(Baseline Spend) - (Realized Spend) = Realized Savings.
