Abstract: The whole process is aimed at storing information of all the service providers particularly the hospitals, doctors, treatment and their cost. This information is available to the management located at different geographical zones that will efficiently use it assist the client. Apart from this there are certain details available to the management for proactive decision making along with critical information to executives for preparedness to the client call. Overall a robust data base is available for the users on the web online giving the right impetus to locate an optimum choice at any point in time. Not all treatments are available and affordable locally in any country. Particularly in under development countries like a few African nations, with undeveloped infra structure and inferior medical facilities those who have ailment have no other choice but to travel beyond to countries which are well equipped and also affordable. Hence the client seeks treatment and searches for the right hospital and the right doctor for the client. Right from the search of hospital to recording treatment and follow up after being back to home country is in fact a very extensive process involving various activities. This involves multiple service providers situated across different countries. The client who is in desperation of getting the best treatment has very little time to make an astute research of the entire itinerary. Coordinating with different agencies and organization in different language might be a herculean task for a normal client whose objective is confined to getting the best treatment at the least possible time.

DETAILED DESCRIPTION OF THE INVENTION:
The ERP solution is a solution for medical tourism facilitators and all stakeholders in the operations. Developed as a central repository and retrieval of data. The data are captured as static entries and transaction entries. The retrieval of data is done intelligently so that the right information goes to the retriever. Data visibility and information retrieval available to different stake holders to the extent they are eligible for. The prime objective of the entire project is to offer the right information to the right person at the right time. 1. DRAWBACKS IN PRIOR ART:
The conventional methodology of providing service to the customer in totality has quite a lot of shortcomings. People who want to get treated usually google and find from the internet on details about the hospital or the treatments they offer. However, medical tourism involves much more then that as this involves an international travel, and all attendant issues connected to that. Besides, the traveler is not a normal person but one who is suffering from some ailment. The main drawback attributed to the formulation of the standard process in the new system, are
(A) Hospital selection Process
Different type of activities requires different type of expertise. Though the objective of providing the best medical treatment to the client, it not only involves selection of best hospital but also different parameters which will be comfortable to the client. Coordinating and sequencing every activity has become impossible with too many options in the service providers namely the hospital and multiple choices the client would exercise during selection. For e.g. A client may look at the cuisine being offered by the hospital, another one may be looking at the availability of prayer room in the hospital, while the third may look for availability of money changer to exchange the foreign currency he is bringing from abroad.
(B) Planning Phase Work Flow:
Sequencing of the client activities has to be perfectly maintained because any tiny change in any part of the itinerary may affect the entire program drastically as every activity is dependent on the successful completion of the earlier activity. This is the main and very important challenge with the legacy system and we have circumvented it in this ERP package.
(C) Multi-currency Accounting system: „ . ____„
The clients originate from different country; treatment might be in a totally different country or even continent. The prime service provider which is the hospital is a different country. All financial transaction will happen only using the local currency where the hospital is situated. Similar is the case with all other service providers like Visa Agents, Local Transport, Flight Bookings, Ground Transportation, Hotel Bookings etc. However, planning happens in country of origin. Accounting multi-currency for a particular client for the entire package often creates a big challenge.
(D)Central repository of Activities:
Medical tourism is not just about medical treatment, but providing environment to the customer to enjoy medical treatment the way they wanted. Hence we need to resources to coordinate with different service providers. Booking the service with each service provider and also coordinating with the client and the service provider during the treatment phase has to be done with utmost accuracy. For every client this process is done by different resource at different time line and different countries. Hence maintaining transparency allowing every nominated staff to cull out required information of the client and their activity to act accordingly is another big challenge. This is being met by this ERP for which a patent is being sought for.
(E) Feedback mechanism:
Obtaining indicators on quality and performance of our service and staff across different regions is very crucial for taking the organization to the next level. At every stage we need to get feedback from the client both on the staff coordinating for the service and also about the service provider. This helps us correct our system, our staff and particularly the service provider.
(F) Internal Communication:
Data of client especially the medical history of any client is private to the client. As any data, these data's are prone to compromise and deterrent to data security. Data theft can happen during data at rest and also data on transit. Since the entire system works on web URL and peer to peer connection, necessary data security measures have been provided at each stage. The system has the provision to store files related to pre- treatment history and post treatment follow-ups.
2. EFFORTS OR SOLUTION TO DRAWBACKS
Anavara has made several iterations along with multiple brain storming session with the existing staff, with industry experts and the reputed service providers and has come with the unique work flow matrix to suit almost the requirement of the medical tourism industry as follows:
2.1 Hospital Selection Process
2.1.1 Hospital algorithm
Objective: The hospital algorithm helps the client to conduct an objective choice among the various hospitals based on certain classification and attributes under each classification. Each classification may not be given equal weightage by the client in selecting the hospital. Hence the client is given the privilege of assigning weightage during the selection process and based on the algorithm; the system will come out with best three choices of hospital which the client is allowed to review.
2.1.2 How it works?
Under each classification, the user will define various attributes in consultation with experts and sometimes clients. They justify weightage to each attribute which culminates to overall score of each classification. Each classification will have equal scores which will be for 100 %. For e.g.
Functionality Hospital selection algorithm.
Objective - The algorithm developed should be able to provide the clients to make a prudent selection of hospital to suit his personal requirement. Apart from the basic requirement which is treatment, the clients desire to select a hospital depends upon various parameters which is broadly defined as
1. Destination
2. Cost
3. Availability of Service
4. Services
5. Follow up
Stage to define weightage to each of the above classification. It might also vary from time to time. Hence provision to be made to alter the weightage from time to time with the history of why it was changed and the user who changed this. Only restricted user will be able to make such changes which will be decided in the User Management module
Stage 2 - Under each classification we need to define the parameters. Tentatively for each classification we can find below the parameters
1. Destination
a. Familiarity
— b ~ Connectivity —
c. Visa Processing procedure & Time involved
d. Climatic Condition
e. Environment implications
2. Cost
a. Cost range for each treatment
b. Package cost
c. Additional cost for services
d. Costing living of that destination
e. Cost of travel
3. Availability of Service
a. No of Services available specific to treatment
b. Doctors/Specialist available for each service
c. Support staff available for each service
d. Accreditation available
e. Experience of Doctors
4. Services
a. Services available
b. Type of services available (Prayer hall, Beds, catering, gym,
swimming pool etc.)
c. Description of services available (no of beds, veg or non veg
catering, Translators etc.)
d. Additional services (concierge, airport pickup drop etc.
e. Procedure to avail each service
5. Follow up
a. Pre-Operative procedures
b. Post-operative procedures
c. Facility available for post and pre-operative procedures in home
country
d. Follow up reminders and scheduling procedures
e. Follow up facility available in nearby country
WORK FLOW:
Step 1 - Define Classification by Experts/ client himself.
Step 2 - Define Attribute under each Classification by Experts.
Step 3 - Define Weightage for each attribute summing to 100 % by the Expert.
Step 4 - Prepare a template by including the classification by CMT.
Step 5 - Assign CMC for each hospital on against the above template.
Step 6- CMT will give scores for each attribute for hospital upon physical verification of hospital.
Step 7 - The above data is stored against each hospital.
Step 8 - CMC assigned a client.
Step 9 - Client provides weightage of the Classification (Not each attribute).
Step 10 - CMC applies the above weightage in the Hospital Algorithm.
Step 11 - First 3 hospitals complying to above algorithm will be displayed in the descending order.
Step 12 - Client is provided information of each hospital about their basic competencies.
Step 13 - Client request comparison of Attributes.
Step 14 - CMC selects the 3 hospitals and click on button "Compare".
Step 15 - The list of attribute and their values will be listed under each hospital selected.
Note: Though staff has made his own judgment on each hospital for each attribute, an intelligent system is built to replace these values from the feedback obtained from the clients which is considered more authentic. These values will be dynamically updated as and when a client gives the feedback which will be average of the no of feedback obtain for that attribute
Perfectly designed work flow captures data of the client itinerary. The high light of the work flow
1. Sequentially maintained
2. Maintains status in each stage
a. Process
b. Awaiting confirmation
c. Awaiting approval
d. Completed
e. Finalized
3. Color code defined stages/status
4. Revisiting each stage and updating status is made user friendly
5. Roles based update and role based view enabled
2.2 Multi-currency Accounting system
2.2.1 Web Based accounting
An integrated accounting system developed as a web based records all financial data in the respective local currency. All payments and receipts are done with local currency. A pervasive accounting system is inbuilt into the system avoiding repetition of financial data inputs and also avoids redundant data. Developed in GAAP can be mapped to certain roles who are entitled to access the accounting data.
2.2.2 Central repository of Activities
Scheduler
Data capture for a particular client is done at different places for different stages. Similarly the user of such information is mostly in
different places. This central repository of data is systematically distributed to respective stake holders namely Top level management, Middle level management, executives, Client, service providers viz., hospital, doctors, Visa Agent, Insurance companies, Flight booking, Hotel, tourist operators. From a single central repository this data dissemination is done through a customized tool namely scheduler. This scheduler has the capability of pushing data based on the roles and the entitlement of access to the data. More importantly for a few roles this scheduler provides ability to update details, modify data and rescheduled details. Further there are certain users with specific role to add schedules to different service providers for a client.
This scheduler will be used by service providers and client from their Respective login.
The highlight of this customized scheduler gives the ability to configure color codes customizable for each user. This increase the user experience of the application.
2.3 Feedback mechanism
Clients Feedback
An inbuilt client feedback mechanism is in place to capture relevant feedback of the client at each stage. A customizable feedback web forms are created which is automated to trigger at those places defined by the management. Analysis on the feedback is done through visual charts and graphs.
2.4 Internal Communication
Privacy is a buzzword heard in these days of database breaches and security lapses. Also both Europe and U.S have stringent privacy norms - General Data Protection Regulation (GDPR) for EU and HIPPA for us
2.4.1 Communication Module
Mail features
Objective: To ascertain the primary objective of data security and data privacy of all data especially critical data of Clients shall not be made available to any external sources like mail servers and exchange servers. All communication will be stored in encrypted form in the dedicated hosting server. There will not be any transfer of data of any form outside the server. These files will be a central repository of all data which can be accessed only by the intended user through secure login credentials which is also encrypted.
The look and feel of the mail module resembles a normal mail server to give the user, a rich experience in sending and receiving mail. Almost all the features which are available with top mail server like,
Compose, Inbox, Sent Items, Deleted Items, Draft and Trash will be available. The user can send and receive attachments of any valid format.
From the user perspective, sender and receiver will be sending and receiving files and communication. From the technical point of view, this is a single application where all the data is stored inside respective folders. The users are allowed to only access these files at various statuses and there is no physical transfer of files or data.
Who have access to this mail facility?
Every valid user of this application will be allowed to use their name
1. Management and Staff
2. Client who have registered and signed with the company
3. Service Provider like Hospitals, Hotels, VISA Agents and others
Each user will be allowed to register in the website with basic details. By providing the mandatory data a mail will be sent to the. guest intimating about the approval process in progress.
The admin who is authorized to approve registration will be able to see all the guest records waiting for approval. With the basic details collected from the guest during registration, the approval authority can cross check on the veracity of the details provided and approve.
Upon approval a mail will be automatically sent to the guest with the random password generated by the system. A link will be provided to authenticate the right user and with the login details provided the user will login to the application to use the mail facility.
SUMMARY OF THE INVENTION
1 Hospital algorithm- The advanced search option provided through this Hospital Algorithm gives the user the ability to match the right type of hospital to the clients sitting across different locations. Since we are collecting meticulous information about each hospital, data mining and data analysis of a hospital offers a robust decision making capabilities to the client and the staff using this system.
2 Phase wise Work flow- The entire operations are systemized and a strong work flow is defined for this process. This avoids skipping of the sequence of operations. This allows multiple staff to handle the process of a client from different locations. This eliminates dependency of man power and their in dispensability
3 Multi-currency Accounting system- This is an inbuilt accounting system which eliminates missing while recording of event at different places, by different users on different occasion. Since most of the accounting inputs are directly captured at the place of origin repetition of data feeding is avoided saving time and increasing the integrity of data.
4 Scheduler- Monitoring, follow-up, sending alerts to clients at various stages and status is fully managed by this inbuilt Scheduler. Since data resides at one place there is no redundancy of data across users. The stake holders are well informed through scheduler as login based information will be available for the entire organization
5 Feed Back - An integrated feedback mechanism is provided in the system work flow. This facilitates the management to be proactive and provide corrective measures through analysis of the data provided by the client at various stages.
6 Internal communication - This forms the one stop solution to the security of client data. This avoids transit of data especially through mail exchangers which are prone to data theft in transit.
