Abstract: Use of IVR (Interactive Voice Response) technology in Recruitment Process comprising: minimizing recruitment & hiring process time by using IVR technology/system that will collect actual responses from candidates in audio format in open ended questions& answer via voice broadcasting. Candidate (interviewee) describe all the skills, experience, knowledge, education & personal information that company/consultant wants to gather information from candidates over IVR voice recorded that IVR run during voice broadcast. iVR select recorded questions from database and relay one by one after getting responses from candidate who has attended the call. It helps companies (any recruitment consultant or company) to shortlist candidate in short span of time from bulk responses to meet requirement as per Job Description. IVR technology implementation with interview recording helps to reduce "hiring process time" effectively.
The inventor has recognized several challenges in the field of recruitment where identifying suitable candidate for job position consume lots of time. Especially when calling several candidates for open/ vacant job positions; or to collect more information (telephonic interview) from candidates to find their skills, experience, background, etc. that may match Job Description. Calling candidate or applicant is challenging and time consuming where most of the time they are either not available to take call, out of network, phone is busy, or switch off. Inventor faced challenges to talk to candidates, applicants or anyone that he can refer to the open job positions.
Inventor worked to improve this process to collect more responses from more candidates in short span of time in a way that it can be used anytime. Inventor simply put an IVR system in recruitment process where candidate response to pre defined questions that comprise of interview questions for the job in audio format like a real call between recruiter & candidate over telephone.
This IVR based call land on candidate's phone and he listen options where he respond in his own voice. Other side candidate call to specific phone number and it connect to IVR where he can record his interview in voice response.
This process help to control manual calling to each candidate/applicant/job seeker one by one using dialer or simply dialing phone, and responses can be listened anytime in candidate's own voice (from recorded files stored in server) and make interview & selection process faster.

What it does (Detailed Description):
In the following description, for the purposes of explanation, various specific details are set forth in order to provide a thorough understanding of "Use of IVR (Interactive Voice Response) technology in Recruitment Process". Several features described hereafter can each be used independently of one another or with any combination of other features. An individual feature may not address any of the problems discussed above or might address only one of the problems discussed above. Some of the problems discussed above might not be fully addressed by any of the features described herein. Present disclosure include systems and methods of providing services such as IVR system implementation specifically for recruitment and hiring process that helps to reduce time of interview process in candidate selection and recording their interview in audio format without having live calling by recruiter/hr/hiring department/consultant/company.
A system of the present disclosure comprise of "hosted or on-premises IVR system" to which a recorded calling service is to be delivered via a telecom service provider. IVR applications are typically associated with inbound calling programs. However, IVR technology can be applied to outbound calling campaigns and are most commonly used with Voice Broadcasting that we are going to implement in recruitment process.
Database is called a mechanism, software, application, or anything that can be used to store phone number where IVR can get connected.
There are two conducts that candidate can record their interview or response in our IVR system. They are:
a. Fist Conduct: Candidate gets a call from IVR, and listen options and respond accordingly in voice
broadcasting. And IVR capture those responses that candidate says in response to IVR voice
broadcasting and record in server for further processing.
b. Second Conduct: Candidate call on specific number and listen options and respond accordingly
in voice broadcasting. And IVR capture those responses that candidate says in response to IVR
voice broadcasting and record in server for further processing.
Explanation of First Conducts:
Step-1: IVR connect database to find phone numbers to call job seeker, once candidate pick the
call a welcome sound playback.
Step-2: IVR give options (Fig 1.1) to candidate to choose from, and respond via touchtone to
select.
Step-3: If candidate is ready to give interview he listen questions from IVR (Fig 1.2)
Step-4: Candidate reply each question in voice and press hash (#) in touch pad/ key in mobile to
move to next question
Step-5: After done with all questions & responses from candidate, recording get converted in
audio format which can be listened in future and saved in server for further process of interview
& selection
Explanation of Second Conducts:
Step-1: Candidate/Job Seeker call on specific telephone/mobile number (Local/National/Toll
Free/International) mentioned in Job Description/career page that he/she can call to record
interview.
Step-2: IVR Start searching phone number from database to match with caller. If found it will
select same path to store information in server; or create a new path if caller is a new or
unknown to the database.
Step-3: IVR give options (Fig 1.1) to candidate to choose from, and respond via touchtone to
select.
Step-4: If candidate is ready to give interview he listen questions from IVR (Fig 1.2)
Step-5: Candidate reply each question in voice and press hash (#) in touch pad/ key in mobile to
move to next question

How does it work (Method/Process):
Database: Database is uploaded on server that is connected with CRM or any other application/software where recruiter/company/hr/interviewer uploads contact information of candidate. Database consists of telephone/mobile number that can be accessed by IVR.
IVR: IVR systems are an example of computer-telephone integration (CTI). The most common way for a phone to communicate with a computer is through the tones generated by each key on the telephone keypad. IVR pick phone numbers from Database to call; on the other side if applicant callback to record interview IVR match the Database and if not available create a new record in Database. IVR has the feature to make outbound call to several numbers at a time or receive several inbound calls at the same time. Once call gets picked by job seeker he responds in touch keypad or qwerty key pad to continue interview. Once candidate ready to give interview IVR connect to server where questions are stored and IVR pick questions from database one by one and ask candidate/ interviewee based on questions recording.
Recorded Questions: Recorded questions are questions that company/hr/recruiter/interviewer wants to collect information from candidate/job seeker/applicant that help them to address following information: -Skills of the applicant/ interviewee
- Communication language command (Regional/ English/ Hindi/ any other) of the applicant/ interviewee
- Confidence of the applicant/ interviewee
- Experience and knowledge of the applicant/ interviewee
- Education and other personal details of the applicant/ interviewee
- His/her contribution to the organization where he/she is giving interview
4. Responses Recordings: IVR record responses collected from candidate in server in audio format that can be listened anytime by any anyone who has the access to listen interview recording.
Advantages of the Process:
• Connecting with candidates who are looking for job change and record their interview in fVR system that save in server for further screening process.
• Pre-recorded IVR based voice broadcasting in the form of interview questions where candidate reply in voice/audio with a feeling that it's a real interview instead of computer generated close ended questions.
• Getting maximum responses recorded from several applicants' and reduce the follow-up for responses like- no response, ringing, disconnected, busy, switch off, etc.
• Reduce the burden of manual calling to screen candidates for job profile
Summary:
Embodiments of the present invention provide a method for enhancing processing priority in recruitment & selection process of candidate, a method for implementing an interactive service, a method for generating a customized IVR flow in recruitment, and corresponding apparatus and system, in order to solve the problem of finding right talent quickly and save time of interviewer/HR/Recruiter.
This process simplify the procedure for screening candidates, shorten the time for recruitment/hiring/ finding talent/ mass hiring service, and realize the customization for service operation.
Embodiments of the present invention provide a method for implementing an interactive service, the method includes making outbound call to candidates by using IVR system where candidate listen few pre recorded options (interview questions, general questions about experience, skills, knowledge, background, education) that phone receiver (candidate) listen and reply in voice responses, wherein the customized IVR flow being generated based on operating information and record each response from candidate in audio format that can be listened anytime later on for review and further interview process.
Embodiments of the present invention provide a method for implementing a customize Interactive Voice Response (IVR) flow, the method includes recording interview responses of candidate in server (in-house or web base).
We Claim:
1. Use of IVR (Interactive Voice Response) technology in Recruitment Process wherein responses from job applicant/ job seeker get recorded in audio format.
2. The method as claimed in claim 1, wherein IVR ask recorded questions (in the form of voice broadcasting) and/or anything that can be considered to collect information from candidate/applicant/job seeker that can be used for interview process, and in response candidate reply to those questions that get recorded in audio format.
3. The method as claimed in claim 1, wherein responses from candidates are recorded in IVR in real time and stored in server for further processing
4. The method as claimed in claim 1, wherein IVR systems is computer-telephone integration (CTI). IVR systems include speech-recognition software that allows a caller to communicate with a computer using simple voice commands to record their interview for hiring.
5. The method as claimed in claim 2, wherein Telephone network -- Incoming and outgoing phone calls are routed through the regular Public Switched Telephone Network (PSTN) or over a VoIP network to conduct interview.
6. The method as claimed in claim 2, wherein after each audio response by candidate, he/she press hash (#) in keypad or touch tone to show that he is done with that particular question so that IVR move to new question.
7. The method as claimed in claim 6, wherein IVR give specific minutes/seconds (time) to interviewee to respond then IVR switch to next question.
8. Technology of IVR that is used in Recruitment Process includes VXML telephony server, web/application server/ database/ TCP or IP network/ Telephone network that can be used to conduct outbound and inbound calls by using IVR for recruitment & selection process where candidate record his/her response in voice/audio format
